Job Overview:
The Team Assistant position at IFC in Cairo is crucial for providing proactive administrative and operational support to advance the organization's mission in North Africa. This role is designed to ensure seamless coordination and enhance team efficiency, contributing to impactful private sector development and fostering inclusive economic growth. The Team Assistant will be responsible for a variety of administrative tasks that are essential for the smooth operation of the team, including managing schedules, coordinating meetings, and preparing necessary documents and materials. The position requires a proactive approach to support the team in achieving its goals and objectives, while also maintaining a professional and respectful work environment that aligns with IFC's values.

Duties and Responsibilities:
The Team Assistant will have a comprehensive set of duties and responsibilities, including:
  • Providing administrative support to the team by managing schedules, coordinating meetings, and preparing documents and materials in a timely manner.
  • Organizing and coordinating travel arrangements, including booking flights, accommodations, and transportation, while ensuring compliance with IFC policies.
  • Assisting in the planning and execution of events, workshops, and conferences, which includes liaising with vendors and managing logistics.
  • Maintaining accurate and organized records, files, and databases to ensure accessibility and compliance with IFC document management standards.
  • Monitoring and processing expense reports, invoices, and procurement requests, ensuring accuracy and adherence to financial guidelines.
  • Supporting the preparation of high-quality reports, presentations, and correspondence that align with IFC standards.
  • Collaborating with team members to ensure timely delivery of projects and initiatives, contributing to departmental goals.
  • Upholding IFC values by fostering an inclusive and respectful work environment and demonstrating cultural sensitivity in all interactions.

Required Qualifications:
The ideal candidate for the Team Assistant position should possess the following qualifications:
  • A university degree and at least 4 years of relevant work experience in a large international institution or private sector organization, with experience in an international organization being a plus.
  • Proven experience in supporting dynamic teams within international organizations, financial institutions, or development agencies, demonstrating adaptability in multicultural environments.
  • Strong command of English and Arabic, with excellent written and verbal communication skills to effectively liaise with internal and external stakeholders.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software tools for document preparation, data management, and scheduling.
  • Exceptional organizational skills, with the ability to prioritize tasks, manage multiple deadlines, and maintain attention to detail in a fast-paced environment.
  • Experience in coordinating travel arrangements, events, and meetings, ensuring seamless execution and adherence to organizational policies.
  • Ability to work collaboratively within a team, fostering a positive and inclusive work environment while maintaining professionalism and discretion.
  • Strong problem-solving skills and a proactive approach to identifying and addressing operational challenges.

Educational Background:
Candidates must have a university degree, which is a prerequisite for the Team Assistant position. A strong educational background will provide the foundational knowledge necessary for effective performance in this position.

Experience:
The position requires at least 4 years of relevant work experience, preferably in a large international institution or private sector organization. Experience in supporting teams within international organizations, financial institutions, or development agencies is highly desirable. Candidates should demonstrate adaptability in multicultural environments and possess a proven track record of managing administrative tasks effectively.

Languages:
The mandatory languages for this position are English and Arabic, as strong communication skills in both languages are essential for liaising with internal and external stakeholders.
