Job Overview:
The Team Assistant position at IFC in Cairo, Egypt, is designed to provide proactive administrative and operational support to advance IFC’s mission in North Africa. This pivotal role is essential for ensuring seamless coordination and enhancing team efficiency, which contributes to impactful private sector development and fosters inclusive economic growth and sustainable solutions. The Team Assistant will be responsible for a variety of administrative tasks that are crucial for the smooth functioning of the team, including managing schedules, coordinating meetings, and preparing necessary documents and materials in a timely manner. The role also involves organizing travel arrangements, planning events, and maintaining accurate records, all of which are vital for supporting the team’s objectives and ensuring compliance with IFC policies and procedures. The Team Assistant will collaborate closely with team members to ensure the timely delivery of projects and initiatives, thereby contributing to the achievement of departmental goals and upholding the values of the organization.

Duties and Responsibilities:
The Team Assistant will have a comprehensive set of duties and responsibilities, including but not limited to: providing administrative support to the team by managing schedules and coordinating meetings; ensuring timely preparation of documents and materials; organizing and coordinating travel arrangements, including booking flights, accommodations, and transportation while ensuring compliance with IFC policies; assisting in planning and executing events, workshops, and conferences, including liaising with vendors and managing logistics; maintaining accurate and organized records, files, and databases to ensure accessibility and compliance with IFC document management standards; monitoring and processing expense reports, invoices, and procurement requests to ensure accuracy and adherence to financial guidelines; supporting the preparation of high-quality reports, presentations, and correspondence; collaborating with team members to ensure timely delivery of projects and initiatives; and upholding IFC values by fostering an inclusive, respectful, and professional work environment while demonstrating cultural sensitivity in all interactions.

Required Qualifications:
The ideal candidate for the Team Assistant position should possess a university degree and have at least 4 years of relevant work experience in a large international institution or private sector organization, with experience in an international organization being a plus. The candidate should have proven experience in supporting dynamic teams within international organizations, financial institutions, or development agencies, demonstrating adaptability in multicultural environments. A strong command of English and Arabic is essential, along with excellent written and verbal communication skills to liaise effectively with internal and external stakeholders. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software tools for document preparation, data management, and scheduling is required. Exceptional organizational skills are necessary, with the ability to prioritize tasks, manage multiple deadlines, and maintain attention to detail in a fast-paced environment. Experience in coordinating travel arrangements, events, and meetings is also important, ensuring seamless execution and adherence to organizational policies. The candidate should be able to work collaboratively within a team, fostering a positive and inclusive work environment while maintaining professionalism and discretion.
