Job Overview:
The Assistant Management Support Officer plays a crucial role in supporting management functions within UNHCR, particularly in the areas of human resources, finance, supply chain, and administration. This position is designed for individuals who are early in their careers and are looking to gain valuable experience in a dynamic and impactful environment. The incumbent will assist in the day-to-day operations, ensuring compliance with operational procedures and facilitating smooth internal coordination. The role requires a proactive approach to problem-solving and the ability to manage sensitive information with discretion. The Assistant Management Support Officer will work closely under the supervision of a senior staff member, contributing to the overall efficiency and effectiveness of the organization’s operations.

Duties and Responsibilities:
The duties and responsibilities of the Assistant Management Support Officer include:
  • Human Resources: Assisting with recruitment logistics, onboarding documentation, and maintaining staff records. Supporting the application of HR processes under the guidance of senior staff, tracking performance management activities, and providing administrative assistance for HR compliance initiatives.
  • Financial Management: Compiling budget and expenditure data, assisting in maintaining financial records, and supporting the preparation of financial reports. Flagging discrepancies or issues to finance colleagues or supervisors.
  • Supply Chain and Procurement: Assisting with procurement actions, maintaining related documentation, monitoring delivery schedules, and updating inventory lists. Providing administrative support for vendor registration and invoice processing.
  • Administrative and Office Management: Supporting logistical arrangements for travel, meetings, and office maintenance. Maintaining filing systems, coordinating supplies, and assisting with facility-related services.
  • Risk Management: Supporting the identification and management of risks, ensuring decision-making is informed by risk assessments, and raising issues to supervisors as necessary.
  • Performing other related duties as required.

Required Qualifications:
The required qualifications for the Assistant Management Support Officer position include:
  • A relevant university degree in fields such as Business Administration, Finance, Human Resources, or Supply Chain Management.
  • For candidates with an undergraduate degree, at least one year of relevant experience is required. Candidates with a graduate degree or doctorate may apply with no prior experience.
  • Essential functional skills include cross-cultural communication, general financial management, administration of staff contracts and benefits, supply planning, and data management.
  • Candidates should possess strong analytical skills, excellent computer skills, particularly in Microsoft Office, and the ability to manage sensitive HR issues with discretion.

Educational Background:
Candidates must have a Bachelor’s degree in relevant fields such as Business Administration, Finance, Human Resources, or Supply Chain Management. Advanced degrees may substitute for experience requirements, allowing candidates with graduate or doctorate degrees to apply without prior experience.

Experience:
The position requires early-career professionals with at least one year of relevant experience for those holding an undergraduate degree. Candidates with graduate or doctorate degrees may apply without any prior experience. Relevant internships, volunteer experiences, or junior-level roles in human resources or administrative functions are considered beneficial.

Languages:
The mandatory language requirement for this position is proficiency in English. Additionally, knowledge of the UN working language of the duty station, if not English, and the local language is preferred. Candidates should demonstrate an overall ability of at least B2 level in the required languages.
