Duties and Responsibilities: The duties and responsibilities of the Outgoing Agreements & Financial Associate Specialist include:
Drafting outgoing agreements such as subgrants and consulting agreements, ensuring they incorporate scopes of work, budgets, monitoring requirements, and donor provisions.
Reviewing and editing scopes of work and budget documents in collaboration with program staff and Program Administrators.
Assessing agreement conditionality and serving as a resource for related inquiries.
Facilitating and monitoring the review and approval process for new agreements and amendments.
Coordinating with Legal, program staff, and other stakeholders during agreement negotiations.
Securing authorized signatures, distributing final documents, and tracking initial payment setups.
Maintaining accurate agreement records in SmartSimple and Workday in accordance with WWF policies.
Troubleshooting issues related to agreement and supplier integration and payment processing.
Processing agreement payments in a timely manner and liaising with accounting and program teams to resolve questions. 1
Monitoring compliance with deliverable requirements and following up on outstanding submissions. 1
Drafting and processing amendments for grants and consultancies as needed. 1
Closing out agreements in accordance with WWF policies. 1
Providing guidance and support on outgoing agreement procedures and systems. 1
Ensuring real-time visibility of processing status in grant management systems. 1
Building relationships across teams and communicating effectively with internal and external partners. 1
Assisting with financial and operational analyses, including budget vs. actuals reports. 1
