Job Overview:
The Logistics Associate position at WFP involves executing logistics commodity accounting and tracking for inbound and outbound shipments within WFP systems. The incumbent will be responsible for raising purchase orders and verifying invoices in compliance with WFP financial processes and procedures. This role requires ensuring that corporate systems are accurately updated with relevant budget codes, vendor details, quantities, contract rates, and terms. The Logistics Associate will also create and maintain Service Entry Sheets (SES) in WINGS, confirming the accuracy of Transportation Purchase Order (TPO) details before approving service delivery confirmations. The position demands a high level of accuracy and organization, as well as strong communication and teamwork skills to provide effective and timely support services. The incumbent will work under the supervision of the Logistics Associate and will play a crucial role in supporting logistics operations and activities, ensuring the effective delivery of food assistance to beneficiaries.

Duties and Responsibilities:
The key responsibilities of the Logistics Associate include providing support to logistics operations and activities, ensuring timely ordering and delivery of commodities and supplies to authorized partners and destinations. The incumbent will assist in managing logistics vendors’ contracting activities, including performance monitoring and measurement. They will respond to various technical queries and requests for support, ensuring timely and accurate resolution of all inquiries while maintaining a high standard of client service. The Logistics Associate will contribute to budget preparation, monitoring, and revision for all delivery modalities, ensuring adherence to relevant procedures and compliance with corporate standards. Additionally, they will assist in monitoring inventory management processes, track trends, and account for inventory status from source to beneficiary. The role also involves managing commodity accounting data quality and integrity, supporting operational pipeline analyses, assessments, and operational planning for all delivery modalities. The Logistics Associate will collect and compile data, produce reports, and ensure information accuracy in corporate systems to support informed decision-making. They will liaise with internal and external stakeholders to support efficient logistics operations management and provide guidance to other support staff to assist them in completing standard tasks to agreed standards and deadlines.

Required Qualifications:
The position requires completion of secondary school education, with a post-secondary certificate in a related functional area being desirable. Candidates must have at least 5 years of experience in logistics and/or warehousing or invoicing operations, preferably in food commodities. Strong analytical and communication skills are essential, along with experience in downstream logistics and warehouse management. The ability to assess the performance of third-party logistics providers and experience in analyzing data related to commodities and funds is also required. Proficiency in MS Office and Excel is necessary for this role.

Educational Background:
Candidates must have completed secondary school education. A post-secondary certificate in a related functional area is considered desirable, indicating a level of specialized training or education that would enhance the candidate's ability to perform the duties of the Logistics Associate effectively.

Experience:
The position requires a minimum of 5 years of relevant experience in logistics, warehousing, or invoicing operations, particularly in the context of food commodities. This experience should include tracking inbound and outbound shipments, invoice verification, and familiarity with warehouse management practices. Candidates should also have experience in analyzing data and drafting reports, which is crucial for effective decision-making and operational planning.

Languages:
Fluency in both oral and written communication in English and Arabic is mandatory for this position. Knowledge of the French language is considered an added advantage, as it may facilitate communication with a broader range of stakeholders and enhance the candidate's effectiveness in the role.
