Job Overview: The position of Asistente de programas at WFP involves providing administrative and operational support to the Program Officer and the programmatic areas within the SO2 team. The role is crucial for ensuring that various activities are executed efficiently and in alignment with WFP's policies and procedures. The assistant will be responsible for managing documentation, coordinating with partners, and ensuring that internal operations run smoothly. This position is not only about administrative tasks but also involves engaging with project management to ensure that objectives are met and that the integrity of data and information is maintained. The assistant will play a key role in supporting the execution of agreements, particularly with the Rotary Foundation, and will be involved in monitoring project commitments and preparing necessary documentation. This role is essential for maintaining the operational effectiveness of the team and ensuring that WFP's mission is fulfilled in Colombia.
Duties and Responsibilities: The Asistente de programas will have a variety of responsibilities, including but not limited to: providing project management support to ensure activities are conducted within established objectives; assisting in the collection, review, and analysis of data for document and report preparation; responding to inquiries and directing them to appropriate levels; supporting the SO2 team with administrative and financial tasks, including tracking deadlines and consolidating information for reports; monitoring and updating documentation status, managing contract expirations; assisting in the review of documentation from partners; maintaining both physical and electronic filing systems; providing administrative support for the Rotary Foundation agreement; tracking commitments and preparing necessary documents; organizing meetings and events; and performing other tasks as assigned by the supervisor. This role requires a proactive approach to problem-solving and a keen attention to detail to ensure compliance with institutional standards.
Required Qualifications: Candidates must have completed secondary education, with a preference for those holding a university degree in Administration, Social Sciences, Public Accounting, Finance, or a related field. A minimum of four years of experience in administrative support within programs, particularly in NGOs, international organizations, or the public sector, is required. Experience in document management, coordination with partners, and event organization is essential. Familiarity with institutional systems and processes, as well as previous experience in international offices or with foundation agreements, is desirable. Candidates should possess excellent organizational skills, time management abilities, and proficiency in Microsoft Office applications, including Word, Excel, and PowerPoint, as well as intermediate database management skills. Strong written and verbal communication skills in Spanish are necessary, with a good command of English being an advantage.
Educational Background: The educational background required for this position includes the completion of secondary education as a minimum. However, candidates with a university degree in relevant fields such as Administration, Social Sciences, Public Accounting, or Finance will be preferred. Additional Notes: The contract duration for this position is six months, with the possibility of extension based on performance and resource availability. The contractual modality is a Service Contract (SC) at level SC-
