Job Overview:
The Senior Officer position within the Procurement Policy and Advisory Department (PPAD) is crucial for ensuring the efficient administrative and secretarial support necessary for the smooth operation of the team. This role encompasses a variety of responsibilities, including managing travel arrangements, overseeing expense claims, and coordinating departmental events. The Senior Officer will also be involved in preparing and publishing Procurement Notices and Contract Awards, as well as supporting the complaints process managed by PPAD. The position requires a proactive approach to identifying opportunities for improving departmental processes and outputs, ensuring that they remain current and effective. The Senior Officer will play a key role in maintaining effective communication within the department and with external stakeholders, contributing to the overall success of the team.

Duties and Responsibilities:
The Senior Officer will be responsible for a wide range of duties, including but not limited to: overseeing the preparation of the Department’s Annual report, coordinating and proofreading submissions, managing submissions to the Bank’s Management and Board committees, and identifying opportunities for process improvements. The role also involves making travel arrangements, handling expense claims, and monitoring corporate card bills. The Senior Officer will allocate and submit weekly comments for OpsCom/SBIC, prepare documents for meetings, and maintain comprehensive filing and electronic systems. Additionally, the Senior Officer will manage diaries, arrange conferences and meetings, and perform ad-hoc secretarial duties as required. The position also includes acting as the department’s IT coordinator and communication coordinator, ensuring the efficient flow of information within the team.

Required Qualifications:
Candidates for the Senior Officer position should possess proven secretarial and administrative experience, with familiarity with the Bank’s systems, policies, and procedures being advantageous. Strong organizational skills, a proactive and flexible attitude, and the ability to prioritize tasks are essential. Excellent communication skills, attention to detail, and the ability to work well under pressure are also required. The ideal candidate should be conscientious, reliable, and possess a professional demeanor, with the ability to build effective working relationships in a multicultural environment.
