Job Overview: The Administrative and Finance Assistant plays a crucial role in supporting the operations of the UNFPA country office in North Macedonia. This position involves providing comprehensive administrative and financial support, ensuring confidentiality in all assignments, and maintaining effective information flow. The Assistant will work under the direct supervision of the Admin/Finance Associate and will be an integral part of the operations team. The role requires a proactive approach to managing deadlines and commitments, as well as the ability to prepare essential documentation for meetings and missions. The Assistant will also be responsible for logistics related to office activities, particularly for high-level visits, and will assist in recruitment processes and procurement activities. This position is vital for ensuring the smooth functioning of the office and supporting the overall mission of UNFPA.
Duties and Responsibilities: The Administrative and Finance Assistant will have a diverse set of responsibilities, including: preparing information briefs, summaries, and background documentation for missions and meetings; creating presentations and visual aids; assisting with logistics for UNFPA-organized activities; supporting HR processes by drafting documents and managing recruitment steps; acting as the Procurement Focal Point and managing procurement activities; conducting pre-payment reviews and compiling necessary documents for payments; managing office supplies and assets; serving as the Petty Cash custodian; making travel arrangements for team members; processing travel requests; monitoring absence leave; and performing other operational duties as required. This role requires a high level of organization, attention to detail, and the ability to work collaboratively within a team.
Required Qualifications: Candidates must possess completed secondary level education, with a first-level university degree being desirable. Additionally, applicants should have at least five years of professional experience in programme or project administration and/or management, along with three years of experience in financial management. Strong interpersonal and organizational skills are essential, as well as proficiency in Microsoft Office programs. Experience with corporate programme and financial management software, such as Atlas/PeopleSoft or G Suite, is considered an asset. Familiarity with international organizations, particularly in areas relevant to UNFPA's mandate, will also be advantageous.
Educational Background: The position requires completed secondary level education as a minimum qualification. A first-level university degree is preferred, indicating a higher level of academic achievement and understanding of relevant fields such as finance, administration, or management.
Experience: Candidates should have a minimum of five years of professional experience in programme or project administration and/or management. Additionally, three years of experience specifically in financial management is required, demonstrating a solid understanding of financial processes and procedures within an organizational context. Experience working with international organizations, such as UN agencies or NGOs, will be beneficial and is highly regarded.
Languages: Fluency in Macedonian and English is mandatory for this position. Knowledge of additional local languages will be considered an asset, enhancing communication capabilities within the diverse environment of UNFPA.
