Job Overview:
The HR Assistant position at WFP involves performing a range of human resources tasks to support the accurate implementation of WFP policies and procedures. The role is crucial in facilitating effective HR services that are client-focused and strategy-oriented. The HR Assistant will be responsible for supporting the recruitment administration process, which includes posting vacancies, longlisting candidates, scheduling interviews, writing interview reports, conducting due diligence, and providing feedback to candidates. Additionally, the HR Assistant will assist with general HR queries, provide guidance and training to other staff, and liaise with internal units on HR-related matters. The position requires maintaining confidential personnel records and HR databases, drafting HR documentation, and supporting staff deployment and related administrative actions. This role is vital for ensuring that WFP can respond quickly to crises and maintain high-quality HR services.

Duties and Responsibilities:
The HR Assistant will have a comprehensive set of responsibilities, including:
  • Supporting the recruitment administration process by posting job vacancies, longlisting candidates, scheduling interviews, and writing interview reports.
  • Conducting due diligence and providing feedback to candidates throughout the recruitment process.
  • Assisting with general HR queries and following up on actions to ensure consistent and high-quality HR services are delivered to clients.
  • Providing guidance and on-the-job training to other staff members to enhance their knowledge of HR systems and procedures.
  • Liaising with other internal units and offices on HR-related matters, such as payroll and contracts, to ensure timely HR services.
  • Extracting and compiling HR data on staff recruitment, selection, and contractual conditions to support analysis and reporting needs.
  • Providing administrative support in various HR activities, including onboarding new staff members in compliance with relevant processes.
  • Maintaining confidential personnel records and HR databases, ensuring data accuracy and compliance with established standards.
  • Drafting various HR documentation, such as employment contracts and training-related documents, ensuring accuracy and adherence to deadlines. 1
  • Utilizing HR management systems for entering and updating HR data and monitoring various deadlines to ensure compliance and accuracy.

Required Qualifications:
The ideal candidate for the HR Assistant position should possess the following qualifications:
  • Completion of secondary school education is required, with a post-secondary certificate in a related functional area being desirable.
  • Proven experience in managing and implementing recruitment processes within an International Non-Governmental Organization (NGO).
  • Experience providing ad-hoc guidance to a diverse workforce based in different duty stations.
  • Familiarity with onboarding processes and providing briefings to new recruits.
  • Experience working across various WFP contexts and with differing operational priorities.
  • Proficiency in using HR management systems, particularly WINGS, i-Mocha, and Workday.
  • Strong reporting writing skills and proficiency in MS Office tools.
  • Basic presentation facilitation skills are an advantage.
  • Prior experience working in a similar organization is a plus.

Educational Background:
Candidates should have completed secondary school education, with a preference for those who have obtained a post-secondary certificate in a relevant functional area. This educational background is essential for understanding the HR processes and systems that will be utilized in the role.

Experience:
The position requires candidates to have relevant experience in human resources, particularly in managing recruitment processes within an international NGO context. Candidates should have experience providing guidance to a diverse workforce and familiarity with onboarding processes. Experience with HR management systems and reporting is also essential, as well as a demonstrated ability to work across various operational priorities.

Languages:
Fluency in English and Swahili is mandatory for this position. Proficiency in these languages is crucial for effective communication within the organization and with stakeholders in the region.
