Job Overview: The Management Services Assistant position is crucial for ensuring the effective implementation of various management procedures and activities within the WFP's operational framework in Mauritania. The role involves supporting the daily delivery of specialized services that prioritize the satisfaction of colleagues and the efficient use of resources. The assistant will work under the direct supervision of the Head of the Field Office in Bassikounou, collaborating closely with the Management Services Division team. The position requires a proactive approach to interpreting general guidelines and adapting them to the specific context of Mauritania, ensuring smooth operations and high-quality service delivery. The assistant will also play a key role in data collection and analysis, contributing to effective resource management and reporting.
Duties and Responsibilities: The duties and responsibilities of the Management Services Assistant include, but are not limited to: performing tasks within the management services portfolio to support effective and high-quality service delivery; gathering data and preparing basic analyses to aid in resource management; processing routine actions related to procurement, finance, human resources, and other relevant areas; maintaining physical and digital records in accordance with established procedures to ensure quick access to data; serving as the first point of contact for internal inquiries, providing prompt and accurate responses to facilitate problem resolution; participating in and suggesting improvements to procedures and practices to support continuous service enhancement; utilizing digital tools and applications to improve work practices and service delivery; providing administrative support for inter-agency initiatives aimed at enhancing service quality and achieving cost savings; liaising with other functions and third-party contractors to ensure effective service delivery; offering guidance and direction to subordinate staff in their roles; and performing emergency preparedness and response tasks as directed by the supervisor.
Required Qualifications: Candidates must possess a secondary school diploma, with a post-secondary certificate in a relevant functional area being desirable. A minimum of five years of experience in administrative work is required, demonstrating a solid understanding of regulations, policies, procedures, and systems related to management services within WFP. Experience in data collection and analysis related to management services, such as asset management, facilities, fleet, travel, or similar areas is essential. The candidate should have a proven track record of providing guidance and support to staff and working collaboratively with teams across various functional areas.
Educational Background: The educational background required for this position includes a secondary school diploma as a minimum qualification. A post-secondary certificate in a relevant field is preferred, indicating a higher level of education and specialization in management services or a related area.
Experience: The position requires at least five years of relevant experience in administrative roles, with a focus on management services. Candidates should have demonstrated experience in understanding and applying WFP's regulations, policies, and procedures, as well as experience in data collection and analysis related to management services.
