Job Overview:
The Programme Support Unit Coordinator position is crucial for supporting the coordination and implementation of the Mission’s Programme Support processes. The incumbent will work under the overall supervision of the Chief of Mission and direct supervision of the Programme Support Unit Coordinator (PSU). The role involves project development, donor reporting, compliance with IOM rules and regulations, and preparing materials for resource mobilization. The incumbent will contribute to the overall direction of the Programme Support Unit, identifying and coordinating the design and development of new programme opportunities in collaboration with donors, government counterparts, and other stakeholders. This position requires a proactive approach to developing thematic fundraising strategies and responding to emerging trends in migration-related initiatives.

Duties and Responsibilities:
The incumbent will be responsible for a variety of duties including:
  • Supporting the Programme Support Unit in identifying, assessing, and coordinating new programme opportunities and projects.
  • Assisting in the development of thematic fundraising strategies by compiling and analyzing information on donor policies and priorities.
  • Contributing to the drafting and submission of new projects that align with donor interests and IOM procedures.
  • Managing donor contracts by coordinating administrative and budgetary aspects of projects.
  • Analyzing data on programme implementation and preparing regular progress reports for donors and partners.
  • Maintaining contact with donor relations counterparts and organizing meetings and field visits.
  • Contributing to the training and development of staff within the unit.
  • Collaborating with the M&E team to develop key project indicators.
  • Drafting talking points and briefing notes for senior management and programme teams. 1
  • Performing any other duties as assigned by the supervisor.

Required Qualifications:
Candidates must possess a Bachelor’s degree from an accredited institution in Social Science, Public Relations, Economics, Development Studies, International Relations, or other relevant disciplines, along with two years of work experience. Alternatively, a Master’s degree in the aforementioned fields is acceptable. The position requires a strong background in project development and management, excellent writing and research skills, and the ability to draft reports and briefing notes. Candidates should also demonstrate experience in budget drafting, liaising with governments and international agencies, and familiarity with humanitarian programming.

Educational Background:
The educational background required for this position includes a Bachelor’s degree from an accredited academic institution in relevant fields such as Social Science, Public Relations, Economics, Development Studies, or International Relations. Candidates with a Master’s degree in these fields will also be considered. Accreditation must be from universities listed in the UNESCO World Higher Education Database, ensuring that the educational qualifications meet international standards.

Experience:
The ideal candidate should have substantial experience in project development and management, particularly in drafting reports and briefing notes. A proven track record in developing projects funded by the European Commission at the national level within Poland is essential, especially those funded by the European Social Fund or the Asylum, Migration, and Integration Fund. Experience in project planning, scheduling, and resource deployment is also required. Additionally, experience in organizing training programs and events is advantageous, as is prior work with NGOs, government, or international institutions. Familiarity with humanitarian and transition assistance programming will be considered a plus.

Languages:
Fluency in Polish and English, both oral and written, is mandatory for this position. Proficiency in any other IOM official language, such as French or Spanish, is desirable and will be evaluated during the selection process, which may include written and/or oral assessments.
