Job Overview: The Project Assistant position is designed to support the implementation and monitoring of various project activities within IOM. The role involves retrieving, compiling, summarizing, and presenting information and data on specific project topics. The Project Assistant will also monitor the project budget, verify the availability of funds, obtain necessary approvals, and update budget-related information. This position requires strong administrative coordination skills, as the assistant will liaise with diverse organizational units and external parties to initiate requests, obtain necessary clearances, and process administrative actions. The Project Assistant will draft status reports, correspondence, briefing notes, graphics, statistical tables, presentations, and other documentation. Additionally, the role includes organizing meetings, workshops, and training sessions, as well as responding to general information requests and inquiries, and maintaining files and records. The Project Assistant is expected to perform other related duties as assigned, contributing to the overall success of the project.
Duties and Responsibilities:
Assist in the implementation and monitoring of project activities, ensuring adherence to project timelines and objectives.
Retrieve, compile, summarize, and present information/data on specific project topics to support decision-making processes.
Monitor the project budget, verify the availability of funds, and obtain necessary approvals for budget-related actions.
Support administrative coordination of project implementation by liaising with various organizational units and external parties.
Draft status reports that identify shortfalls in delivery and bring them to the attention of the supervisor.
Prepare correspondence, reports, briefing notes, graphics, statistical tables, presentations, and other forms of documentation as required.
Organize and facilitate meetings, workshops, and training sessions, ensuring all logistical arrangements are in place.
Respond to general information requests and inquiries from stakeholders and maintain organized files and records.
Perform other related duties as assigned by the supervisor to support project objectives.
Required Qualifications:
High school diploma with at least four (4) years of relevant experience; or a Bachelor's degree in business administration, Marketing and Sales, Economy, International Relations, Development Studies, Migration Studies, Human Rights, Law, or related fields from an accredited academic institution with at least two (2) years of relevant professional experience.
Experience in liaising with governmental authorities, national/international institutions, United Nations agencies, and non-governmental organizations.
Experience working with migrants, refugees, internally displaced persons, victims of trafficking, and other vulnerable groups is highly desirable.
Prior work experience with international humanitarian organizations or government institutions in a multicultural setting is an advantage.
Proficiency in IT tools such as Word, Excel, PowerPoint, and Internet, with the ability to prepare reports and presentations.
Educational Background: The educational background required for this position includes a high school diploma with significant relevant experience or a Bachelor's degree in fields such as business administration, Marketing and Sales, Economy, International Relations, Development Studies, Migration Studies, Human Rights, Law, or related fields. The degree must be from an accredited academic institution, as recognized by the UNESCO World Higher Education Database.
Experience: The position requires at least four (4) years of relevant experience for candidates with a high school diploma or at least two (2) years of relevant professional experience for those with a Bachelor's degree. Experience should include liaising with governmental authorities and working with vulnerable groups such as migrants and refugees. Prior experience in international humanitarian organizations or similar institutions is considered an advantage, particularly in a multicultural environment.
Languages: Fluency in Spanish is required for this position, both oral and written. As IOM's official languages include English, French, and Spanish, proficiency in these languages will be evaluated during the selection process, which may include written and/or oral assessments.
Additional Notes: The position is subject to local recruitment, and only candidates holding a valid residence and work permit for Ecuador will be considered. The appointment will be contingent upon certification of medical fitness, verification of residency, visa, and necessary authorizations by the concerned government.
