Job Overview:
The Project Assistant position at IOM Ecuador is integral to the implementation and monitoring of project activities aimed at supporting migrants and refugees. The incumbent will work under the general supervision of the Head of Operations and in coordination with the National Project Manager. The role involves a variety of tasks including convening and recording meetings, monitoring project budgets, and acting as a focal point for administrative coordination. The Project Assistant will also be responsible for drafting reports, responding to complex information requests, and maintaining project files. This position requires a proactive approach to problem-solving and the ability to work collaboratively with various stakeholders to ensure the successful delivery of project objectives.

Duties and Responsibilities:
The duties and responsibilities of the Project Assistant include:
  • Assisting in the implementation and monitoring of project activities, including organizing and documenting Enterprise Development Fund (EDF) Committee meetings.
  • Compiling, summarizing, analyzing, and presenting information/data on specific project topics.
  • Monitoring project budgets, verifying fund availability, and updating budget-related information.
  • Coordinating administrative tasks related to project implementation, including liaising with organizational units and external parties.
  • Drafting status reports and identifying shortfalls in project delivery, suggesting remedial actions as necessary.
  • Supporting monitoring and evaluation colleagues in post-disbursement activities, including procurement schedules and field visits.
  • Preparing and updating various forms of documentation, including reports and presentations.
  • Responding to complex inquiries and maintaining organized project files.
  • Monitoring the work of implementing partners and reporting non-compliances. 1

  • Performing other related duties as assigned.

Required Qualifications:
Candidates must possess a high school diploma with five years of relevant experience, or a Bachelor's degree in political or social sciences, International Relations, Development Studies, Migration Studies, Human Rights, Law, or related fields from an accredited institution with three years of relevant professional experience. Accredited universities are those listed in the UNESCO World Higher Education Database. Additionally, candidates should have experience in liaising with governmental authorities and working with vulnerable groups, as well as proficiency in IMS/CRM and advanced Excel skills.

Educational Background:
The educational background required for this position includes either a high school diploma with five years of relevant experience or a Bachelor's degree in a relevant field such as political or social sciences, International Relations, Development Studies, Migration Studies, Human Rights, Law, or related fields. The degree must be from an accredited academic institution recognized by the UNESCO World Higher Education Database.

Experience:
The position requires candidates to have experience in liaising with governmental authorities, national and international institutions, United Nations agencies, and non-governmental organizations. Candidates should also have experience working with migrants, refugees, and other vulnerable groups, as well as at least two years of experience in supporting grants management and administrative coordination. Prior experience with international humanitarian organizations is considered an advantage.

Languages:
Fluency in Spanish is required for this position, both oral and written. A working knowledge of English is also necessary, as IOM's official languages include English, French, and Spanish. Language proficiency will be evaluated during the selection process, which may include written and/or oral assessments.

Additional Notes:
This position is subject to local recruitment, and only candidates holding a valid residence and work permit for Ecuador will be considered. The appointment will be contingent upon medical fitness certification, residency verification, and necessary government authorizations.
