Job Overview: The Administrative, Operations and Logistical Support Officer plays a crucial role in the UNDP Yemen Country Office's Liaison Office based in Amman, Jordan. This position is vital for ensuring the smooth delivery of administrative, operational, and logistical support to the country office's responsibilities. The officer will work under the guidance of the Strategic Advisor and will be responsible for a variety of tasks that facilitate the operational support for the country office in Yemen. This includes assisting staff during their rotation or transit to Amman, managing logistics for meetings and events, and ensuring that all necessary arrangements are in place for the effective functioning of the office. The role requires a proactive approach to problem-solving and the ability to manage multiple tasks efficiently, ensuring that all operations run smoothly and effectively.
Duties and Responsibilities: The duties and responsibilities of the Administrative, Operations and Logistical Support Officer include:
Providing administrative support by arranging senior management meetings, conferences, and retreats, managing agendas, and ensuring timely communication with security" style="border-bottom: 1px dotted #007bff !important;">security personnel regarding meeting venues.
Managing office supplies and assets, including maintaining inventory and coordinating with the Regional Hub office for invoice verification and payment confirmation.
Facilitating visa requests and ensuring timely submission and collection of passports.
Maintaining daily attendance records for staff in Amman and providing reports as needed.
Acting as a focal point for security coordination, including reporting on staff lodgings and contact details.
Supporting event management by providing logistical support for conferences, workshops, and meetings, including venue selection and equipment arrangements.
Performing financial activities related to payments and office petty cash, compiling documentation for finance processing, and following up on payments.
Collaborating with the procurement unit for office supplies and services, obtaining offers from local suppliers, and managing dispatch arrangements for UNDP materials.
Keeping accurate records of assets and preparing semiannual and annual reports on office equipment.
Required Qualifications: The position requires a range of qualifications, including strong organizational and communication skills, proficiency in administrative tasks, and the ability to work collaboratively with various stakeholders. Candidates should demonstrate adaptability and flexibility in a dynamic work environment, as well as creativity in problem-solving. Professionalism and self-management are essential, along with a commitment to accountability and ethical standards. Volunteers are entitled to a Monthly Volunteer Living Allowance (VLA) of JOD 1,603.11, along with annual and learning leaves, free medical and life insurance, and access to various learning platforms.
