Job Overview:
The Programme and coordinator" style="border-bottom: 1px dotted #007bff !important;">Administrative Coordinator will play a crucial role in supporting IOM's initiatives in Sri Lanka, particularly in the areas of migration, environment, climate change, and risk reduction. The successful candidate will work under the guidance of the Chief of Mission and the National Programme Officer, ensuring effective coordination of project tasks. This position requires a proactive approach to implementing and monitoring project activities, as well as the ability to compile and present data on various project topics. The coordinator will also be responsible for budget monitoring, administrative coordination, and drafting various forms of documentation, including reports and correspondence. The role demands strong organizational skills to manage meetings, workshops, and training sessions, while also responding to inquiries and maintaining accurate records.

Duties and Responsibilities:
The duties and responsibilities of the Programme and Administrative Coordinator include:
  • Assisting in the implementation and monitoring of project activities related to migration and climate change.
  • Retrieving, compiling, summarizing, and presenting information and data on specific project topics.
  • Monitoring project budgets, verifying fund availability, and updating budget-related information.
  • Supporting administrative coordination of project implementation by liaising with various organizational units and external parties.
  • Drafting status reports and identifying shortfalls in project delivery.
  • Preparing correspondence, reports, briefing notes, graphics, statistical tables, and presentations.
  • Organizing meetings, workshops, and training sessions.
  • Responding to general information requests and inquiries.

  • Performing other related duties as assigned by the supervisor.

Required Qualifications:
Candidates must possess a Bachelor’s degree in Climate Change, Disaster Risk Reduction, Environmental Studies, Migration Studies, or related fields from an accredited academic institution, along with two years of relevant professional experience. Alternatively, candidates with a High School diploma and four years of relevant experience will also be considered. Accreditation from universities listed in the UNESCO World Higher Education Database is required. Additionally, candidates should have experience in liaising with governmental authorities and working with vulnerable groups such as migrants and refugees.

Educational Background:
The educational background required for this position includes a Bachelor’s degree in a relevant field such as Climate Change, Disaster Risk Reduction, Environmental Studies, or Migration Studies. Candidates with a High School diploma may be considered if they have substantial relevant experience. The educational qualifications must be from accredited institutions recognized by the UNESCO World Higher Education Database.

Experience:
The position requires candidates to have experience in liaising with governmental authorities, national and international institutions, and non-governmental organizations. Experience working with migrants, refugees, and other vulnerable groups is essential. Prior work experience with international humanitarian organizations or in a multi-cultural setting is considered an advantage, as it demonstrates the candidate's ability to navigate complex environments and collaborate effectively with diverse stakeholders.

Languages:
Fluency in English, both oral and written, is mandatory for this position. Additionally, working knowledge of Sinhala and Tamil is highly desirable, as it will facilitate communication with local communities and stakeholders. Proficiency in these languages will be evaluated during the selection process, which may include written and/or oral assessments. IOM's official languages are English, French, and Spanish, but for this role, English is the primary requirement.

Additional Notes:
The position is subject to funding confirmation, and the selection process may be used to fill similar positions in various duty stations. Recommended candidates will remain eligible for appointment in similar positions for a period of 24 months. This post is subject to local recruitment, meaning only candidates holding a valid residence and work permit for Sri Lanka will be considered. The appointment will also be contingent upon certification of medical fitness, verification of residency, visa, and necessary government authorizations.
