Job Overview:
The Project Assistant will work under the overall supervision of the Chief of Mission in Ireland and will be guided by the Immigration and Border Governance Program Manager. The successful candidate will be responsible for assisting with the administration of applications for Temporary Protection for Ukrainian Nationals and Third Country Nationals fleeing Ukraine and arriving in Ireland. This role involves providing information on the Temporary Protection Directive, verifying documentation, supporting vulnerable cases, assisting beneficiaries with application forms, and maintaining data management records. The Project Assistant will also be involved in logistical support and ensuring the confidentiality of sensitive information. The position requires strong communication skills, the ability to work in a multicultural environment, and a commitment to the values of IOM.

Duties and Responsibilities:
  • Provide information on the Temporary Protection Directive to applicants in Registration Centres and Border Crossing Points in Ireland.
  • Collect, verify, and support the examination and translation of documentation from Ukrainian/Russian to English.
  • Identify vulnerable cases during interviews and refer them to the Department of Justice as necessary.
  • Support minority groups in their applications and refer them to NGOs and Civil Society organizations when needed.
  • Assist beneficiaries in completing application and registration forms required by the Department of Justice and other relevant government departments.
  • Support data management for records collected from beneficiaries using governmental platforms.
  • Organize and schedule appointments, enter data into databases, and update schedules.
  • Draft statistics and reports of work performed for submission to IOM supervisors.
  • Provide informal translation and interpretation services as needed. 1
  • Maintain positive working relationships with the Department of Justice and other local stakeholders. 1
  • Adhere to rules to mitigate fraud and ensure the integrity of records. 1
  • Provide logistical support for project implementation as required. 1
  • Assist with transport and logistical coordination for applicants arriving at Border Crossing Points. 1
  • Be available to support other duty stations as needed. 1
  • Perform other duties as assigned.

Required Qualifications:
  • High School diploma with four years of relevant experience; or a Bachelor’s degree in Social Studies, Political Science, International Relations, Psychology, or related fields with two years of relevant professional experience.
  • Experience working with migrants, refugees, and vulnerable groups is essential.
  • Experience in a multicultural setting and with asylum seekers and refugees is preferred.
  • Prior work experience with international humanitarian organizations or government institutions is an advantage.
  • Strong intercultural competence and communication skills are required.
  • Good administrative, reporting, and organizational skills are necessary.
  • Proficiency in MS Office, particularly Word and Excel, is required.
  • A valid driving license (Category B) is advantageous.

Educational Background:
Candidates must possess either a High School diploma with four years of relevant experience or a Bachelor’s degree in a relevant field such as Social Studies, Political Science, International Relations, or Psychology. Accredited universities are those listed in the UNESCO World Higher Education Database.

Experience:
The position requires a minimum of two years of relevant professional experience for candidates with a Bachelor’s degree, or four years for those with a High School diploma. Experience in working with migrants, refugees, and vulnerable populations is crucial, as is experience in a multicultural environment. Previous work with international humanitarian organizations or government institutions is highly regarded.

Languages:
Fluency in English is mandatory, along with proficiency in Ukrainian and/or Russian, both oral and written. IOM’s official languages include English, French, and Spanish, and proficiency in these languages may be evaluated during the selection process.

Additional Notes:
This position is subject to local recruitment, and only candidates holding a valid residence and work permit for Ireland will be considered.
