Job Overview:
The Program Assistant position at IOM in Brazil involves supporting various projects that address the protection, assistance, and integration needs of migrants, refugees, and other vulnerable populations. The successful candidate will work under the direct supervision of the National Project Officer in Boa Vista and collaborate closely with various coordinators in the field. The role requires a proactive approach to collecting and delivering resources, ensuring adequate supplies for office operations, and providing general assistance to project teams. The candidate will be expected to contribute to the overall effectiveness of IOM's programs by ensuring that logistical and operational needs are met, thereby facilitating the successful implementation of projects aimed at supporting migrants and local communities.

Duties and Responsibilities:
The duties and responsibilities of the Program Assistant include:
  • Collecting, delivering, and moving items as requested to provide necessary resources and assistance in the field.
  • Collecting and distributing mail and packages to ensure timely communication and resource sharing.
  • Ensuring a sufficient stock of drinking water and initiating daily supply and delivery to office water coolers.
  • Verifying the stock of printing papers and initiating daily supply and delivery to office printers and copier machines, including maintaining an updated stock card.
  • Providing general assistance to the CCCM, Regularization, Relocation, and Operations Teams in field activities and project development.
  • Supporting infrastructure and services for migrants and local communities to enhance project outcomes.
  • Performing any other related duties as assigned by the supervisor to ensure the smooth operation of IOM's activities in the region.

Required Qualifications:
The required qualifications for the Program Assistant position include:
  • A high school diploma with relevant professional experience in a related field.
  • Demonstrated ability to work independently while adhering to established structures and guidelines, including administrative requirements.
  • Experience in migration and refugee contexts, whether in the public or private sector, international organizations, or civil society, is considered an advantage.
  • Strong organizational skills and the ability to manage multiple tasks effectively.
  • A commitment to IOM's values and principles, including respect for diversity, integrity, professionalism, and accountability.

Educational Background:
Candidates must possess a high school diploma as a minimum educational requirement. Additional qualifications or certifications related to migration, humanitarian assistance, or project management may be beneficial but are not mandatory. Relevant professional experience can compensate for formal educational qualifications in some cases.

Experience:
Candidates should have experience working in migration and refugee contexts, which can be gained through roles in public or private sectors, international organizations, or civil society. Experience in logistical support, project assistance, or community engagement will be advantageous. The ability to work independently and effectively within a team is essential, as is familiarity with administrative processes and requirements.

Languages:
IOM's official languages are English, French, and Spanish. Proficiency in one or more of these languages is mandatory and will be evaluated during the selection process, which may include written and/or oral assessments. Knowledge of Portuguese, the local language, is also beneficial and may enhance communication with local communities and stakeholders.

Additional Notes:
This position is subject to local recruitment, meaning that only candidates holding a valid residence and work permit for Brazil will be eligible for consideration. The appointment will be contingent upon certification of medical fitness, verification of residency, visa, and any necessary authorizations by the concerned government.
