Job Overview: The Programme Assistant position at UN Women involves providing comprehensive support to the Programme Team in the development and implementation of effective programs that align with UN Women’s rules and regulations. The role requires a proactive approach to administrative, logistical, and programmatic tasks to ensure smooth program implementation. The Programme Assistant will work closely with the Programme Specialist and other team members to facilitate the execution of program work plans, budgets, and proposals, while also tracking the delivery of funds and ensuring compliance with financial management protocols. This position is crucial in supporting the organization’s mission to advance gender equality and respond to the humanitarian crisis in Ukraine, particularly in the context of the ongoing conflict and its impact on women and girls.
Duties and Responsibilities: The Programme Assistant will be responsible for a variety of tasks, including:
Providing administrative and logistical support for the formulation and management of programs, including the preparation of work plans, budgets, and proposals.
Assisting in the routine delivery and reporting of program activities and finances, ensuring compliance with UN Women’s regulations.
Supporting the financial management of the Programme Unit by creating projects in the Quantum system, preparing budget revisions, and processing payments.
Organizing logistical arrangements for meetings, workshops, and events, including travel arrangements for the Programme Team.
Compiling and processing documentation from donors and the program team for various databases.
Facilitating knowledge sharing by organizing training for office staff and partners on program and operations-related issues.
Performing other duties as necessary for the efficient functioning of the office and organization.
Required Qualifications: Candidates must have completed secondary education, with a Bachelor’s degree in Business or Public Administration considered an asset. Additionally, candidates should possess strong administrative skills, including proficiency in managing data, documents, and financial information. Good IT skills and the ability to create and present information clearly are essential. Experience in supporting a team and familiarity with ERP systems, particularly Oracle Cloud, is desirable.
Educational Background: The minimum educational requirement for this position is the completion of secondary education. A Bachelor’s degree in a relevant field such as Business or Public Administration is preferred and would enhance a candidate's qualifications for the role.
Experience: Candidates should have at least 5 years of progressively responsible experience in administrative or program management/support roles. Experience in a computer environment using multiple office software packages is required, and familiarity with ERP systems is desirable. The ability to support a team effectively is also important for this position.
Languages: Fluency in English and Ukrainian is mandatory for this role. Knowledge of another official UN language, such as French, Arabic, Chinese, Russian, or Spanish, is considered an asset and may enhance a candidate's profile.
