Job Overview: As an Operations Assistant at the Bangladesh Resident Mission (BRM) within the South Asia Department (SARD), you will play a crucial role in supporting the administrative functions of the mission. Your responsibilities will include managing records, preparing correspondence and reports, and assisting with the logistics of visiting ADB missions. You will be expected to ensure that all documents are prepared accurately and submitted on time, in compliance with ADB standards. Additionally, you will coordinate supervisors' schedules, arrange meetings with various stakeholders, and assist in the preparation of briefing papers and presentation materials for senior management. This role requires a proactive approach to managing administrative tasks and ensuring effective communication within the organization and with external partners.
Duties and Responsibilities: The duties and responsibilities of the Operations Assistant include:
Typing, preparing, and submitting correspondence and documents for supervisors in compliance with ADB standards.
Coordinating supervisors' schedules by maintaining diaries and arranging appointments, meetings, travel, and accommodation.
Arranging meetings and appointments with the Government of Bangladesh, executing agencies, donors, and other stakeholders.
Assisting in the preparation of briefing papers, presentation materials, and organizing seminars, workshops, and press conferences.
Editing and formatting ADB documents such as project completion reports and consultant reports, and uploading them on SharePoint.
Maintaining and updating office filing systems and records for easy retrieval.
Monitoring incoming and outgoing documents, reports, and emails for action or reassignment.
Performing other tasks as required and reflected in the workplan.
Relieving other Operations Assistants during their absence.
Required Qualifications: To qualify for the position of Operations Assistant, candidates must possess a Bachelor's degree and have at least 5 years of relevant professional experience. Candidates should have sound knowledge of commonly used application software, including Microsoft Office (word processing, spreadsheets, graphics, presentation applications, and search engines). Additionally, knowledge of processing and project administration activities is essential. Excellent written and verbal communication skills in English are mandatory, as effective communication is crucial for this role.
Educational Background: The educational background required for this position is a Bachelor's degree. This foundational education is necessary to ensure that candidates have the requisite knowledge and skills to perform the administrative duties effectively and to understand the context of the work within the ADB framework.
Experience: Candidates should have a minimum of 5 years of relevant professional experience. This experience should ideally include administrative support roles, project administration, or similar functions that demonstrate the ability to manage tasks efficiently and effectively in a fast-paced environment. Experience in international organizations or development finance institutions would be advantageous.

Additional Notes: This position is a local staff appointment, open only to nationals and permanent residents of Bangladesh. It is a fixed-term appointment with the option to renew, initially for a period of up to 3 years or until the Normal Retirement Date (NRD), whichever comes first. After the initial period, ADB may choose to renew the appointment for up to an additional 3 years based on various factors, including the staff's performance and the organization's needs.
