Job Overview:
The position of Asociada/o Ejecutiva/o y Técnica/o involves providing comprehensive executive administrative support to the Country Representative of ONU Mujeres in Bolivia. This role requires maintaining strict confidentiality while managing the flow of information and communications within the office. The individual will coordinate the Representative's schedule, organize travel logistics, and ensure timely dissemination of information. The position also entails supporting external relations activities, facilitating communication with various stakeholders, and contributing to knowledge generation and sharing within the office. The role is crucial for ensuring the efficient operation of the office and supporting ONU Mujeres' mission in Bolivia, particularly in combating violence against women and promoting gender equality.

Duties and Responsibilities:
  • Provide executive support to the Country Representative, including managing their agenda, scheduling meetings, and organizing travel arrangements.
  • Maintain an updated directory of contacts and manage administrative files related to official travel and mission reports.
  • Coordinate logistical arrangements for meetings, events, and workshops, and prepare materials for presentations.
  • Facilitate communication between the Country Representative and other units within ONU Mujeres, ensuring timely responses to correspondence.
  • Assist in the preparation of translations and act as an interpreter when necessary.
  • Support external relations activities by coordinating visits from high-level officials and ensuring compliance with protocol.
  • Contribute to knowledge management by sharing experiences and best practices related to administrative support.
  • Provide logistical support for ONU Mujeres' participation in humanitarian coordination spaces, including organizing meetings and preparing materials.
  • Perform additional functions as required for the efficient operation of the office.

Required Qualifications:
Minimum qualifications include a secondary education diploma, with a preference for candidates holding a bachelor's degree in business administration or public administration. Candidates should have at least six years of progressive experience in administrative, secretarial, or program support roles. Proficiency in Microsoft Office and web-based management systems is required, with experience in modern ERP systems, preferably Oracle Cloud, being an asset. Strong organizational skills and the ability to manage a high volume of work efficiently are essential.

Educational Background:
A secondary education diploma is required for this position. A bachelor's degree in business administration or public administration is highly valued and preferred, as it provides a solid foundation for the administrative and operational tasks associated with the role.

Experience:
Candidates must possess a minimum of six years of progressively responsible experience in administrative, secretarial, or program support functions. This experience should demonstrate the ability to handle complex administrative tasks and support high-level executives effectively. Familiarity with modern software applications and web-based management systems is essential for success in this role.

Languages:
Fluency in Spanish is mandatory for this position, as it is the primary language of communication within the office. Intermediate knowledge of English is also required, as it may be necessary for communication with international partners and stakeholders.
