Job Overview: The Administrative Assistant position at WFP is crucial for supporting the delivery of quality, customer-focused administrative services that enable staff to effectively provide food assistance to beneficiaries. This role involves assisting with the preparation of management services components of WFP’s Country Strategic Planning and Resource Planning, ensuring alignment with WFP’s strategies and policies. The Administrative Assistant will also be responsible for collating data, preparing analyses to support planning and decision-making, and maintaining relationships with internal and external stakeholders. The position requires a proactive approach to identifying resource requirements and suggesting improvements to services related to Occupational Safety and Health. Additionally, the role involves utilizing digital tools to enhance operational workflows and customer service, supporting field missions, and organizing learning initiatives to build capacity among WFP staff and partners.
Duties and Responsibilities: The duties and responsibilities of the Administrative Assistant include: assisting in the preparation of management services components for Country Strategic Planning; supporting the implementation of policies and procedures; collating data and preparing analyses for decision-making; maintaining relationships with stakeholders; suggesting improvements for Occupational Safety and Health services; promoting environmental sustainability; utilizing digital tools for operational efficiency; supporting UN Reform initiatives; documenting issues during field missions; organizing learning initiatives for staff; and following emergency preparedness practices to ensure quick deployment of resources to affected areas. The role may also involve other tasks as required by the management.
Required Qualifications: Candidates for the Administrative Assistant position must possess a strong background in administration and management services. They should have experience in at least one line of business related to management services, such as asset management, facilities, or travel. Proficiency in deriving insights from data and managing administrative processes is essential. The ideal candidate will have demonstrated a high level of proficiency in WFP administrative standards and have experience in coaching or training new staff members. Strong organizational, communication, and interpersonal skills are also required, along with the ability to work collaboratively in a team environment.
Educational Background: The educational requirements for this position include an advanced university degree in Business/Public Administration, Engineering, or a related field, along with one year of managerial and professional experience. Alternatively, candidates with a first university degree and three years of proven managerial experience will also be considered. A strong educational background in business administration, management, or engineering is preferred, as it relates directly to office management and administration.
Experience: Candidates should have relevant experience in administration, office management, or related roles, ideally within international organizations or NGOs. Experience in managing guesthouse operations, processing invoices, and tracking expenditures is highly desirable. The role requires a proven ability to handle multiple tasks and deadlines effectively, as well as strong analytical skills to identify issues and propose solutions in administrative processes.
Languages: Fluency in English is mandatory, with a proficiency level of C. If the duty station's language differs from English, fluency in that language is also required. Proficiency in additional UN languages such as French, Spanish, or Arabic is considered an asset and may enhance a candidate's application.
