Job Overview:
The Administration Technical Officer plays a crucial role in supporting the director" style="border-bottom: 1px dotted #007bff !important;">Deputy Director by ensuring that administrative and logistical operations run smoothly. This position is vital for maintaining compliance with both internal and external regulations, which is essential for the effective functioning of the organization. The officer is responsible for overseeing the operations of the office and guesthouse, supervising the office driver, managing procurement processes, and handling financial documentation. Additionally, the role involves coordinating travel and accommodation logistics for staff and guests, as well as supporting government liaison activities. The officer will also contribute to strategic engagement, policy analysis, and advocacy efforts, ensuring that the operational space of NIF is safeguarded and that service delivery is enhanced. This position requires a proactive approach to problem-solving and the ability to foster positive relationships with various stakeholders, including government entities and other partners.

Duties and Responsibilities:
The duties and responsibilities of the Administration Technical Officer include:
  • Ensuring compliance with NRC/NIF policies and legal frameworks.
  • Providing administrative, logistical, and liaison support to the organization.
  • Maintaining effective filing and documentation systems to ensure easy access to information.
  • Supporting process improvement initiatives to enhance operational efficiency.
  • Overseeing daily office and guesthouse operations to ensure a conducive working environment.
  • Monitoring admin and logistics-related procurements and budgets to ensure financial accountability.
  • Coordinating travel, accommodation, and transport logistics for staff and guests.
  • Upholding ethical standards and confidentiality in all dealings.
  • Representing NIF positively in external engagements and maintaining a professional image. 1
  • Supporting coordination efforts and reporting to ensure transparency and accountability. Specific responsibilities include managing procurement processes, assisting in budget preparation, supervising administrative staff, organizing logistics for events, processing payments and invoices, maintaining inventory, drafting letters to government agencies, ensuring compliance with logistics policies, coordinating logistics needs with program teams, overseeing vehicle maintenance, and building relationships with government authorities.

Required Qualifications:
The position requires a degree or diploma in Administration, Management, or a related field. Candidates must have a minimum of 3 years of experience working as a Logistics, Admin, or Liaison Officer in a humanitarian or recovery context. Prior experience in complex and volatile environments is essential, along with a proven track record of delivering results related to the responsibilities of the role. Candidates should demonstrate strong organizational skills and the ability to manage multiple tasks effectively.

Educational Background:
Candidates must possess a degree or diploma in Administration, Management, or a related field. This educational background is crucial for understanding the administrative and logistical functions required in this role, as well as for engaging with various stakeholders effectively.

Experience:
The Administration Technical Officer should have a minimum of 3 years of relevant experience in logistics, administration, or liaison roles, particularly within humanitarian or recovery contexts. Experience in complex and volatile environments is highly valued, as it equips candidates with the skills necessary to navigate challenges and deliver results effectively. A proven track record of success in similar roles is essential for this position.

Languages:
Fluency in English is mandatory for this position, as it is the primary language of communication within the organization and with external stakeholders. Knowledge of the Hausa language is considered an advantage, as it may facilitate better communication with local government authorities and communities.

Additional Notes:
The position is based in Maiduguri, Nigeria, with a contract duration of 6 months, ending on June 30, 2026, with the possibility of extension. The role is classified at Grade 6 in NRC’s grading structure, and the reporting line is to the Deputy Director. The position may require travel of up to 10%.
