Job Overview: The Reporting and Communications Assistant will play a crucial role in the Communications and Reporting Unit (CRU) of the OSCE Programme Office in Dushanbe. Under the direct supervision of the Reporting and Communications Officer, the incumbent will support all reporting-related tasks and ensure effective communication within the office. The position requires collaboration with other units and departments to coordinate reporting efforts and organize cross-dimensional events and activities. The assistant will be responsible for gathering inputs for regular reports, assisting in the preparation of speeches and presentations, and ensuring that all communication is consistent and meets the required standards. This role is vital for maintaining the coherence of the office's external reporting and programmatic coordination, contributing to the overall mission of the OSCE in the region.
Duties and Responsibilities: The incumbent will be responsible for a variety of tasks, including:
Supporting the gathering of inputs for the Office’s regular reports and assisting in reviewing and editing such reports and other relevant documents related to the Office’s external correspondence.
Assisting the Reporting and Communications Officer in collecting inputs for speeches, presentations, and talking points for the Head and Deputy Head of Office, ensuring consistency and adherence to stated requirements.
Gathering information on developments in the area of operation relevant to the Office’s programmatic work and supporting related reporting requirements.
Coordinating and liaising with other departments within the Office to facilitate effective information sharing and gathering of inputs for Office-wide tasks related to reporting, communication, and programmatic coordination, while supporting the meeting of deadlines.
Providing administrative and logistical support in organizing external visits and events organized by the Office of the Head of Office (OHoO).
Assisting the Communications and Reporting Unit in collecting and collating input from other departments for various communication and reporting-related tasks.
Required Qualifications: The ideal candidate should possess the following qualifications:
Completed secondary education supplemented with specialized training in social science, communications, or a related field.
A minimum of five years of work experience in reporting and coordination-related tasks, preferably acquired in an international organization, with practical experience in editing and reviewing political or project documents, or related reports.
Proficiency in computer applications, particularly Microsoft Office packages, is essential.
Strong ability to collate input, edit, and proofread various reports and external communications, including letters.
Demonstrated ability to work effectively with individuals from diverse nationalities, religions, and cultural backgrounds.
Awareness and sensitivity to gender issues, with the ability to integrate a gender perspective into tasks and activities as relevant.
Educational Background: Candidates must have completed secondary education, and it is preferred that they have additional specialized training in fields such as social science, communications, or a related area. This educational background is essential to ensure that the candidate has the foundational knowledge necessary for the role.
Experience: Candidates should have a minimum of five years of relevant work experience, particularly in reporting and coordination tasks. This experience should ideally be gained in an international organization, where the candidate has had practical exposure to editing and reviewing documents, as well as managing reporting requirements. The ability to work under pressure and meet deadlines is crucial for this position.
Languages: The position requires excellent written and oral communication skills in English and Russian. A working knowledge of the Tajik language would be considered an asset, enhancing the candidate's ability to communicate effectively within the local context and with various stakeholders.
Additional Notes: The position is a fixed-term contract at the General Services level (G5) and is classified as full-time. The monthly remuneration is set at 892.75 EUR, subject to social security deductions. Social benefits include participation in the Cigna medical insurance scheme and the OSCE Provident Fund. Appointments are typically made at Step 1 of the applicable OSCE salary scale, but in exceptional cases, an initial appointment at up to Step 3 may be considered based on relevant experience or previous remuneration. Candidates should be aware that the OSCE does not reimburse expenses related to interviews, tests, visas, or relocation. Additionally, OSCE appointments are subject to medical clearance, and the mandatory retirement age for contracted positions is 65 years.
