Job Overview:
The Administrative Assistant plays a crucial role in supporting administrative services within UNDP. This position requires ensuring high-quality work and accurate, timely service delivery. The Administrative Assistant is expected to adopt a client-oriented approach and work closely with various teams, including Operations, Programme, and project staff, as well as other UN agencies. The role involves implementing operational strategies, providing logistical support, managing transport services, and facilitating knowledge sharing within the organization. The Administrative Assistant is integral to maintaining compliance with UNDP regulations and ensuring efficient administrative processes.

Duties and Responsibilities:
The Administrative Assistant is responsible for a variety of key functions, including:
  • Implementing operational strategies by ensuring compliance with UN/UNDP rules and regulations, assisting in drafting correspondence, and organizing meetings and conferences.
  • Providing administrative and logistical support, which includes managing the UNDP Transport Pool, maintaining vehicle inventories, and processing payments related to transport services.
  • Assisting in the issuance and management of Customs Passbooks for eligible international staff, including obtaining customs clearance and maintaining relevant records.
  • Supporting knowledge building and sharing by participating in training for operations and project staff and contributing to knowledge networks. The role requires a proactive approach to problem-solving and a commitment to delivering quality results.

Required Qualifications:
Candidates must possess a minimum of secondary education, with a preference for a Bachelor’s degree in Business Administration, Public Administration, Social Science, Management, Finance, or a related field. Relevant administrative experience is essential, with a minimum of 5 years required for candidates with a high school diploma, or 2 years for those with a Bachelor’s degree. Proficiency in computer applications and office software is necessary, along with experience in transport management and customs clearance processes. Strong organizational and client-oriented skills are also required.

Educational Background:
The educational requirements for this position include at least secondary education, with a Bachelor’s degree in a relevant field being advantageous. Candidates with degrees in Business Administration, Public Administration, Social Science, Management, or Finance will be given preference, although it is not mandatory. The emphasis is on having a solid educational foundation that supports the administrative functions of the role.

Experience:
The position requires candidates to have a minimum of 5 years of relevant administrative experience if they hold a high school diploma, or 2 years if they possess a Bachelor’s degree. Experience in using office software and web-based management systems is essential. Additionally, candidates should have experience in transport management and customs clearance, as well as a background in providing general administrative support.

Languages:
Fluency in English and Bangla is mandatory for this position. Candidates must demonstrate strong communication skills in both languages to effectively interact with diverse stakeholders and fulfill the administrative responsibilities of the role.
