Job Overview: The Office Manager (OM) plays a crucial role in the effective implementation of administrative procedures and processes within the Resident Office (RO) in Senegal. This position is pivotal in ensuring that the office operates efficiently, providing a well-managed working environment for both staff and visitors. The OM will work closely with the Head of Office and will be responsible for interfacing with various departments within the Banking Division, ensuring smooth operations and effective communication. The role requires a proactive approach to office management, including the establishment of a new office, coordination with local authorities, and maintaining relationships with government bodies. The OM will also be responsible for overseeing administrative, financial, and HR functions, ensuring compliance with EBRD policies and procedures.
Duties and Responsibilities: The Office Manager will be responsible for a wide range of duties including: supporting the establishment of the new office in Senegal, coordinating with local authorities and EBRD HQ teams; managing office maintenance, supplies, and equipment; liaising with landlords regarding lease and maintenance issues; coordinating security" style="border-bottom: 1px dotted #007bff !important;">security and medical issues; acting as HR coordinator for staff registration and accreditation; managing IT coordination for office newcomers; preparing annual budgets and monitoring financial transactions; supervising staff and ensuring effective workload management; providing administrative support to the Head of Office; and implementing archiving procedures according to EBRD requirements. The OM will also be responsible for ensuring compliance with the Business Continuity Plan and participating in UN Security Plan events.
Required Qualifications: Candidates should possess a Bachelor’s degree or equivalent experience in relevant areas. Previous experience in a senior administrative or accounting role, preferably in an international or leading company, is highly desirable. The ideal candidate will have strong organizational skills, the ability to prioritize tasks effectively, and excellent communication skills. Interpersonal skills are crucial, as the OM will need to maintain professional relationships with clients and co-workers. The candidate should demonstrate reliability, flexibility, and a high degree of integrity, with the ability to handle confidential and sensitive issues.
