Job Overview:
The Commodity Tracking Officer position is crucial for ensuring operational excellence within the World Food Programme's logistics and supply chain operations. This role focuses on the monitoring and management of food and non-food items throughout the supply chain, from their origin to the final distribution points. The officer will be responsible for maintaining visibility, traceability, and accountability of all commodity transactions and movements across various corridors, ports, and warehouses. The position requires a proactive approach to data management and reporting, ensuring that senior management has access to accurate and timely information for decision-making. The officer will also play a key role in coordinating with various units within WFP to ensure that all stakeholders are informed and aligned on stock movements and inventory status. Duties and Responsibilities:
The duties and responsibilities of the Commodity Tracking Officer include:
  • Monitoring Corridors Stock: Oversee in-transit and incoming stocks across all operational corridors, ensuring that Best Before Dates (BBD) are tracked and updated in the Logistics Execution Support System (LESS). Liaise with warehouse teams to ensure quality assurance and prepare daily stock reports summarizing movement status and corridor performance.
  • Data Mapping and Visualization: Map and consolidate commodity tracking data to support senior management decision-making. Utilize DOTS, LESS, and Excel to create dashboards, pivot tables, and visual performance indicators. Respond to ad hoc data requests and provide real-time tracking analytics. Generate and distribute a weekly dashboard to monitor stock movements and key performance metrics.
  • Coordination and Reporting: Collaborate with relevant units, including Budget and Programming (BPU), Procurement, and Donor Relations, to ensure coordinated updates. Provide regular Purchase Order (PO) tracking reports and stock status updates. Prepare and submit the Bureau for Humanitarian Assistance (BHA) weekly report and other donor-specific reporting requirements. Draft Notes for the Record (NFRs) in coordination with corridor focal points and WFP HQ logistics teams.
  • Physical Inventory Control (PIC): Coordinate periodic physical inventory counts and support quality control checks at warehouses. Reconcile physical inventory results with warehouse records and investigate discrepancies. Ensure validated entries are updated in LESS and reported accurately to management.
  • Systems and Capacity Support: Act as the focal point for LESS operations and data integrity for commodity tracking. Train cooperating partners, warehouse staff, and internal stakeholders on standard operating procedures (SOPs), tracking tools, and data entry protocols. Support data quality control initiatives and troubleshoot system or reporting issues.

Required Qualifications:
The required qualifications for the Commodity Tracking Officer position include:
  • Education: A university degree in Logistics, Supply Chain Management, Business Administration, or a related field is essential.
  • Experience: Candidates should have 1-2 years of post-graduate experience in supply chain operations, preferably within humanitarian contexts and emergency setups.
  • Skills: Proficiency in LESS, DOTS, and Excel, including the ability to create dashboards and pivot tables, is necessary. Strong analytical and reporting skills are required, along with experience working with cross-functional teams in high-pressure environments. Candidates should demonstrate the ability to work effectively under pressure and manage multiple tasks simultaneously.

Educational Background:
Candidates applying for the Commodity Tracking Officer position must possess a university degree in a relevant field such as Logistics, Supply Chain Management, Business Administration, or a related discipline.
