Job Overview:
The Programme Assistant position is designed to support the UNDP Impact & Advisory Team (IAT), which was established in September 201
  • The IAT focuses on knowledge generation and policy advocacy to enhance the effectiveness of the Country Office (CO) programs and business processes. The main objectives of the IAT include generating actionable insights through systematic investigations of development challenges, strengthening strategic partnerships, facilitating inclusive policy dialogues, providing strategic advisory support for development interventions, and fostering a culture of innovation within the CO. The Programme Assistant will play a crucial role in the administration of projects, day-to-day office activities, and liaising with counterparts. This includes providing comprehensive secretariat and program support to the IAT, drafting correspondence, taking minutes, organizing events, making travel arrangements, processing payments, and monitoring procurement tasks. The role requires a proactive approach to ensure the timely implementation of IAT activities and the achievement of expected program outcomes.

Duties and Responsibilities:
The Programme Assistant will have a diverse set of duties and responsibilities, including:
  • Supporting the administration and implementation of program strategies by applying results-based management tools and achieving CO program targets. This involves designing mechanisms to enhance the impact of the CO program portfolio and presenting information for identifying areas for support.
  • Providing effective support to the management of the country office program by preparing briefing materials, gathering data for documents, and coordinating with various teams and stakeholders on knowledge generation and policy advocacy activities.
  • Offering administrative support to the Impact Advisory Unit, including compiling documents for payments, creating requisitions, assisting in procurement documentation, maintaining databases, organizing team meetings, and managing logistical arrangements for events.
  • Supporting knowledge building and sharing within the program/project by organizing training for staff, contributing to knowledge networks, and synthesizing lessons learned and best practices.
  • Performing other tasks as assigned by the supervisor, ensuring high-quality, accurate, and consistent work.

Required Qualifications:
The position requires a minimum of secondary education, with a first-level university degree (Bachelor’s degree) in fields such as Public Administration, International Studies, Sociology, Development Studies, Communications, Management, or Environmental Science being advantageous. Candidates should possess proficiency in Microsoft Office applications and virtual collaboration tools, as well as strong organizational and documentation skills. Familiarity with UNDP systems and experience in event organization are also desirable. Strong interpersonal and communication skills are essential for effective coordination with stakeholders.

Educational Background:
Candidates must have at least secondary education, with a Bachelor’s degree in relevant fields being preferred. The educational background should ideally include studies in areas related to public administration, international relations, development studies, or similar disciplines that equip the candidate with the necessary knowledge and skills for the role.

Experience:
The position requires a minimum of five years of relevant work experience with secondary education or two years with a Bachelor’s degree in administrative or project/program management at the national or international level. Experience in the development sector is considered an asset, particularly if it includes working with UN agencies, government institutions, NGOs, or international development organizations.

Languages:
Fluency in English and Filipino is required for this position. Proficiency in additional languages may be considered an advantage, particularly if it enhances communication with stakeholders and partners in the region.
