Job Overview: The Logistics Assistant plays a crucial role in managing the day-to-day logistics operations of the field office. This position is primarily focused on overseeing procurement activities, fleet management, and warehouse management to support the programmatic needs of the organization. The Logistics Assistant will be responsible for ensuring the smooth movement of vehicles, managing minor procurement tasks, and maintaining the warehouse operations. The position requires close collaboration with the Senior Logistics Officer and other team members to ensure that all logistics activities are conducted efficiently and in compliance with organizational standards. The Logistics Assistant will also be expected to contribute to the overall effectiveness of the logistics team by providing timely and accurate reporting on logistics activities and challenges.
Duties and Responsibilities: The Logistics Assistant will have a comprehensive set of responsibilities that include:
Fleet Management: Planning monthly transportation activities, monitoring vehicle movements, ensuring proper documentation and vehicle maintenance, and organizing loading and offloading of cargo.
Procurement Management: Ensuring compliance with procurement procedures, liaising with senior logistics staff, conducting vendor assessments, maintaining procurement records, and coordinating with finance for payments.
Warehouse Management: Checking the quality and quantity of goods received, maintaining stock records, organizing warehouse storage, preparing outgoing goods, and conducting inventory checks.
Reporting: Keeping accurate records of all logistics activities, providing weekly updates to management, and participating in asset management and disposal processes.
Additional Duties: Performing any other relevant tasks as assigned by the Senior Logistics Officer or management.
Required Qualifications: The ideal candidate for the Logistics Assistant position should possess the following qualifications:
A degree in Procurement and Logistics or a related field.
1-2 years of experience in logistics within an office setting, preferably in a non-governmental organization (NGO).
Familiarity with donor-funded procurement rules and regulations is an advantage.
Strong organizational skills and attention to detail.
Ability to work collaboratively in a team environment and communicate effectively with diverse stakeholders.
Educational Background: Candidates should have a degree in Procurement and Logistics or a related field. Vocational training in logistics management is also acceptable. The educational background should provide a solid foundation in logistics principles and practices, as well as an understanding of procurement processes.
Experience: The position requires 1-2 years of relevant experience in logistics, preferably in an office environment. Experience in a non-governmental organization (NGO) is desirable but not mandatory. Candidates should demonstrate a strong understanding of logistics operations and the ability to manage multiple tasks effectively.
Languages: Fluency in the local language is mandatory, and a basic proficiency in English is also required. Additional language skills may be considered an asset, particularly if they enhance communication with local stakeholders and partners.
Additional Notes: This position is full-time and based in Ethiopia. The Logistics Assistant will be expected to work closely with various teams and may be required to travel to different project sites as needed.
