Job Overview: The Human Resources Assistant position is crucial for managing the resources management functions within the Sub-Office in Cox's Bazar. The successful candidate will work under the supervision of the Head of Resources Management and collaborate with various units at Headquarters and Administrative Centres. The role involves supporting recruitment processes, managing pre-employment activities, maintaining data accuracy in HR systems, and ensuring compliance with organizational policies. The candidate will also be responsible for archiving personnel files, drafting employment-related documents, and organizing HR events. Duties and Responsibilities: The Human Resources Assistant will have a diverse set of responsibilities, including but not limited to: coordinating recruitment processes by publishing vacancy notices, sorting applications, arranging interviews, and preparing documentation; managing pre-employment activities such as medical exams and orientation sessions; maintaining data in the PRISM HR system, ensuring accuracy and consistency; acting as a timekeeper in PRISM, managing leave quotas, and generating reports; supporting separation and promotion processes by collecting documentation and coordinating with relevant units; updating electronic and physical archiving systems; drafting various HR documents; organizing meetings and training activities; and responding to general HR inquiries. The role requires attention to detail and the ability to manage multiple tasks efficiently.
Required Qualifications: Candidates must possess a High School diploma with four years of relevant experience, or a Bachelor’s degree in Human Resources, Business Administration, Psychology, or a related field with two years of relevant professional experience. Familiarity with international humanitarian organizations or government institutions is advantageous. Proficiency in Microsoft Office applications is essential, and experience with SAP is a distinct advantage. Candidates should demonstrate strong organizational skills, attention to detail, and a client-oriented approach.
Educational Background: The educational requirements for this position include a High School diploma or a Bachelor’s degree in a relevant field such as Human Resources, Business Administration, or Psychology. Accredited universities recognized by the UNESCO World Higher Education Database are preferred. The educational background should align with the responsibilities of the role, emphasizing the importance of a solid foundation in human resources management principles.
Experience: Candidates should have prior work experience in a relevant field, ideally with international humanitarian organizations or in a multi-cultural setting. A minimum of two years of professional experience is required for those with a Bachelor’s degree, while those with a High School diploma should have four years of relevant experience. Experience in managing HR functions and familiarity with recruitment processes will be beneficial.
Languages: Fluency in English and Bengali is mandatory for this position. IOM's official languages include English, French, and Spanish, and proficiency in these languages may be evaluated during the selection process. Additional Notes: This position is subject to local recruitment, and only candidates holding a valid residence and work permit for Bangladesh will be considered. The appointment is contingent upon medical fitness certification and verification of residency and visa requirements.
