Job Overview:
The Staff Assistant will play a crucial role in providing comprehensive office management and administrative support functions. This position requires a proactive individual who can maintain effective communication with the Executive Office and senior officials across different units. The incumbent will be responsible for ensuring the smooth flow of information within the unit, preparing confidential materials, and assisting in the coordination of meetings and special projects. The role also involves orienting new staff on administrative procedures, attending meetings to take notes, and monitoring follow-up activities. The Staff Assistant will manage the unit's extra budgetary funds projects and assist in human resource activities, making this position integral to the unit's operations. Additionally, the Staff Assistant will prepare presentation materials and maintain schedules, ensuring that all administrative duties are performed efficiently and effectively.

Duties and Responsibilities:
The Staff Assistant will be responsible for a variety of tasks, including but not limited to: performing office management and administrative support functions with minimal supervision; liaising with the Executive Office and senior officials; monitoring processes and schedules related to the unit's outputs; ensuring efficient information flow; preparing and processing confidential information; assisting in the coordination of meetings and special projects; orienting new staff; attending meetings and press briefings; providing assistance with extra budgetary funds projects; initiating and monitoring human resource activities; preparing presentation materials; maintaining calendars and schedules; performing various administrative duties such as leave recording and meeting organization; and maintaining both paper and electronic files and databases.

Required Qualifications:
Candidates must possess a high school diploma or equivalent. A minimum of five years of experience in general office support or a related area is required. This experience requirement is reduced to three years for candidates with a first-level university degree or higher. Experience in or with the United Nations or a similar international organization is essential, along with experience in providing support to a senior official in a front office setting. Familiarity with Enterprise Resource Planning (ERP) systems is desirable, as is experience in budgeting and monitoring donor-funded projects.

Educational Background:
The educational requirement for this position is a high school diploma or equivalent. Candidates with a first-level university degree or higher will have a reduced experience requirement, making them more competitive for the role.

Experience:
The position requires a minimum of five years of relevant experience in general office support or a related area. However, candidates with a first-level university degree or higher can qualify with only three years of experience. Experience working with the United Nations or similar international organizations is mandatory, and candidates should have a background in supporting senior officials in a front office environment. Experience with ERP systems and donor-funded project management is also advantageous.

Languages:
Fluency in oral and written English is required for this position, as English and French are the working languages of the United Nations Secretariat. Knowledge of another official United Nations language is considered an advantage, enhancing the candidate's profile.
