Job Overview:
The consultancy position aims to enhance the management of knowledge and information within the WHO Country Office in Ukraine. The consultant will play a pivotal role in developing strategies and procedures that ensure the continuity of operational processes, which are essential for informed decision-making and improved operational performance. This role involves collaboration with various units within the office, focusing on the documentation of lessons learned and the maintenance of critical workflows. The consultant will serve as a focal point for the collection, organization, and dissemination of internal information, working closely with teams engaged in monitoring, evaluation, and reporting to boost overall efficiency and effectiveness. The position is home-based, allowing for flexibility while ensuring that the consultant can effectively contribute to the organization's objectives.

Duties and Responsibilities:
  • Maintain and update a project implementation tracker monthly, providing progress summaries on completed activities, outputs, and pending actions related to Recovery Teams.
  • Organize and document at least 10 coordination or technical meetings/workshops, ensuring that agendas, participant lists, and action notes are provided within 5 working days after each event.
  • Establish a structured digital filing system using Teams/SharePoint, ensuring that 100% of project documentation is uploaded and categorized by thematic area by the end of the third month and maintained throughout the contract duration.
  • Develop at least 3 communication or knowledge materials, such as technical briefs, presentations, or success stories, that showcase project results, lessons learned, or partner contributions by the tenth month. All deliverables must be submitted via email in English or Ukrainian, as appropriate, in MS WORD format by the specified deadlines.

Required Qualifications:
Essential qualifications include a first university degree in information management, social science, public health, business administration, or a related field. Candidates must possess strong organizational and analytical skills, excellent communication and collaboration abilities, and proficiency in knowledge management tools and methodologies. Additionally, proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook, OneDrive) is required. Desirable qualifications include familiarity with WHO or other UN agencies' processes and experience working in Ukraine or similar country offices.

Educational Background:
Candidates must have a first university degree in a relevant field such as information management, social science, public health, or business administration. This educational background is essential for understanding the complexities of knowledge management and operational processes within health systems.

Experience:
Candidates should have at least 3 years of experience in knowledge management, standard operating procedure (SOP) development, or process improvement. Experience working with international organizations, particularly in health systems or humanitarian settings, is essential. Desirable experience includes working with WHO or other UN agencies and familiarity with the operational context in Ukraine or similar environments.

Languages:
Fluency in oral and written English is essential for this position. Knowledge of Ukrainian is also relevant, as some deliverables may need to be submitted in this language. Proficiency in additional languages may be considered an asset but is not mandatory.

  • The consultant will work remotely and is not expected to travel. The total contract value is $42,000, with a monthly rate of $6,000 based on 20 working days per month. Payments will be made on a monthly basis following the submission of a technical report and approval from the responsible officer. This vacancy notice may also be used to identify candidates for other similar consultancies at the same level.
