Job Overview: The Meeting Services Attendant plays a crucial role in ensuring the smooth operation of conferences and meetings organized by ESCWA. This position requires a proactive approach to service delivery, ensuring that all conference services are provided optimally and in a timely manner. The attendant will work closely with the Conference Affairs Officer and will be responsible for preparing the conference room, organizing documentation, and assisting participants throughout the meetings. The role demands attention to detail, excellent organizational skills, and the ability to work under pressure to meet the demands of various stakeholders. The attendant will also be involved in logistical arrangements, ensuring that all necessary materials and resources are available for successful meetings.
Duties and Responsibilities: The duties and responsibilities of the Meeting Services Attendant include:
Preparing the conference room the day before meetings, including creating and setting up nameplates for participants, following approved seating protocols, and ensuring all materials are ready.
Organizing and distributing official documentation and reference materials in the conference room.
Distributing speeches and conference papers to relevant parties, including podium staff and interpreters.
Providing refreshments, such as water, during meetings and distributing stationery supplies as needed.
Assisting officials and participants with meeting-related inquiries and logistics.
Coordinating with interpreters and sound technicians to ensure smooth communication during meetings.
Preparing invitations for participants and assisting in the coordination of coffee breaks.
Monitoring meeting requests and booking rooms and services as required.
Assisting with cost estimates for services requested through ESCWA’s portal. 1
Entering data related to interpreters and other meeting logistics into relevant systems. 1
Performing general office management functions and other related duties as assigned by the Chief.
Required Qualifications: Candidates must possess a High School diploma or equivalent. A minimum of one year of experience in conference services or meeting management is required. Experience in a multinational or international organization, particularly within the United Nations system, is highly desirable. Candidates must submit a copy of their educational qualifications as part of the application process, as incomplete applications will not be considered.
Educational Background: The educational requirement for this position is a High School diploma or equivalent. Candidates are required to provide documentation of their educational qualifications when applying for the position.
Experience: The position requires at least one year of relevant experience in conference services, meeting management, or a related field. Experience working within the United Nations or similar international organizations is preferred, as it provides valuable insight into the operational standards and protocols expected in such environments.
Languages: Fluency in English and Arabic is mandatory for this position, as these are the primary working languages of ESCWA. Knowledge of French is considered an asset, as it is one of the working languages of the United Nations Secretariat. Fluency is defined as being able to speak, read, write, and understand the language proficiently, while knowledge indicates a confident ability in at least two of these areas.
