Job Overview:
The position of Individual Contractor for MAP Administration is designed to provide essential administrative support to the Mediterranean Action Plan (MAP) within UNEP. The contractor will work under the direct supervision of the Administrative/Fund Management Officer and will be responsible for facilitating meetings and procurement functions in accordance with UNEP/MAP guidelines. This role is critical in ensuring that all logistical arrangements for meetings and conferences are executed smoothly, which includes assessing venues, ensuring the availability of necessary equipment, and preparing documentation. The contractor will also assist in the procurement process, which involves liaising with various units to prepare purchasing requests, producing tender documents, and negotiating terms with suppliers. The position requires a proactive approach to problem-solving and a commitment to maintaining high standards of service delivery in support of UNEP's environmental initiatives.

Duties and Responsibilities:
The duties and responsibilities of the Individual Contractor include:
  • Supporting MAP Meetings: Assessing and recommending suitable venues for meetings, ensuring all logistical arrangements are made in advance, maintaining records of meetings, and assisting in drafting and updating reference materials related to meetings.
  • Supporting MAP Procurement Services: Liaising with requesting units to prepare and prioritize purchasing requests, producing tender documents, negotiating terms with suppliers, and maintaining internal databases related to procurement activities.
  • General Administrative Support: Drafting correspondence, resolving issues related to delivered goods, and assisting in liaising with procurement offices at UNEP HQs and UNON. The contractor will also perform other duties as assigned, demonstrating flexibility and adaptability in a dynamic work environment.

Required Qualifications:
The position requires a minimum of a High School Degree. Candidates must have at least 5 years of experience in general office support or a related area. Experience in procurement policies and meeting organization is desirable. Proficiency in computer applications such as Word, Excel, and PowerPoint is essential. Familiarity with Enterprise Resource Planning systems, particularly UN Umoja, is also desirable. Formal training in areas such as human resources, finance, general services, conference management, or business administration is considered an asset.

Educational Background:
Candidates must possess at least a High School Degree. Additional educational qualifications in business administration or related fields are preferred, particularly those that include formal training in administration, finance, or procurement.

Experience:
The role requires a minimum of 5 years of relevant experience in general office support or a related area. Candidates with experience in procurement policies and meeting organization will be given preference. The ability to demonstrate a solid understanding of administrative processes and procurement practices is crucial for success in this position.

Languages:
Fluency in English, both oral and written, is mandatory. A working knowledge of French is also required. Knowledge of Greek and/or another official United Nations language is considered an advantage, enhancing the candidate's ability to communicate effectively in a multilingual environment.

This position is office-based in Athens and is expected to last for a duration of 4 months.
