Job Overview:
The position of Assistante ou Assistant Services Généraux involves a range of administrative and operational tasks aimed at supporting the organization's general services. The successful candidate will be expected to manage various logistical and administrative functions, ensuring that all services run smoothly and efficiently. This role requires a proactive approach to problem-solving and the ability to work collaboratively with different teams. The assistant will be responsible for coordinating schedules, managing office supplies, and assisting in the organization of events and meetings. Additionally, the position may involve liaising with external vendors and service providers to ensure that all operational needs are met. The ideal candidate will have a strong understanding of office management and administrative processes, as well as the ability to adapt to changing priorities and demands.

Duties and Responsibilities:
  • Manage and coordinate daily administrative tasks to ensure smooth office operations.
  • Organize and maintain office supplies and inventory, ensuring that all necessary materials are available.
  • Assist in scheduling meetings, appointments, and events, including preparing agendas and taking minutes.
  • Liaise with external vendors and service providers to coordinate services and resolve any issues that may arise.
  • Support the team in preparing reports and presentations as needed.
  • Maintain accurate records and files, ensuring confidentiality and compliance with organizational policies.
  • Provide support for travel arrangements and logistics for staff and visitors.
  • Assist in the onboarding process for new employees, including orientation and training.
  • Contribute to the development and implementation of office policies and procedures. 1

Required Qualifications:
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently and as part of a team.
  • Attention to detail and a high level of accuracy in work.
  • Problem-solving skills and the ability to handle multiple tasks simultaneously.
  • Previous experience in an administrative or support role is preferred.

Educational Background:
A minimum of a high school diploma is required, with a preference for candidates holding an associate's degree or higher in business administration, office management, or a related field. Additional certifications in office management or administrative support are a plus.

Experience:
Candidates should have at least 2 years of experience in an administrative or support role, preferably within a corporate or non-profit environment. Experience in managing office operations and providing support to teams is highly desirable.

Languages:
Fluency in French is mandatory, with proficiency in English being highly desirable. Knowledge of additional languages is a plus and will be considered an asset for the position.
