Job Overview:
The position of Assistante ou Assistant du Réseau des Délégations involves supporting the coordination and management of the organization's delegations worldwide. The role requires a proactive approach to facilitate communication between different delegations and the central office. The assistant will be responsible for organizing meetings, preparing reports, and ensuring that all delegations are aligned with the organization's strategic goals. This position is crucial for maintaining the flow of information and resources between the headquarters and field operations, ensuring that all delegations are equipped to carry out their missions effectively. The assistant will also play a key role in the planning and execution of events and initiatives that promote the organization's objectives.

Duties and Responsibilities:
  • Coordinate communication between the central office and various delegations to ensure alignment with organizational goals.
  • Organize and schedule meetings, including preparing agendas and taking minutes.
  • Assist in the preparation of reports and presentations for internal and external stakeholders.
  • Maintain an updated database of contacts and resources related to the delegations.
  • Support the planning and execution of events, workshops, and training sessions for delegation staff.
  • Monitor and evaluate the effectiveness of communication strategies and suggest improvements.
  • Provide administrative support to senior management as needed.
  • Assist in the development of training materials and resources for delegation staff.
  • Ensure compliance with organizational policies and procedures in all communications and activities.

Required Qualifications:
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication abilities in both French and English.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Strong problem-solving skills and attention to detail.
  • Experience in administrative support or project management is preferred.

Educational Background:
A bachelor's degree in international relations, communications, business administration, or a related field is required. Additional certifications in project management or administrative support are a plus.

Experience:
A minimum of 2 years of experience in an administrative or support role, preferably within an international organization or non-profit sector. Experience in coordinating projects or events is highly desirable.

Languages:
Fluency in French is mandatory, and proficiency in English is also required. Knowledge of additional languages is considered an asset and may enhance the candidate's application.

Additional Notes:
