Job Overview:
The Administration Senior Assistant (Fleet Management) plays a crucial role within the Support Services of the Ukraine Multi-Country Office. This position is responsible for managing a team of drivers and overseeing various specialized, technical, and general functions related to fleet management. The role requires ensuring efficient, client-oriented service delivery while promoting a results-oriented approach. The Assistant will work under the guidance of the Administration Officer, contributing to the effective utilization of the fleet in a cost-effective manner. The position is vital in supporting UNOPS's mission to assist Ukraine in its recovery and development efforts amidst ongoing challenges due to the conflict.

Duties and Responsibilities:
  • Management Support: Research and retrieve statistical data from various sources, prepare reports, and ensure deadlines are met. Provide administrative support and manage petty cash.
  • Logistics and Fleet Management Services: Ensure effective logistics and fleet management support services, maintain the fleet of vehicles, oversee mission dispatching, manage fuel supply, and coordinate with local authorities.
  • Team Management: Facilitate high-quality service delivery from the team of drivers, ensure compliance with policies, monitor performance, and manage administrative control records.
  • Knowledge Building: Organize training initiatives, contribute to knowledge networks, and maintain documentation. The role requires a proactive approach to problem-solving and a commitment to continuous improvement in service delivery.

Required Qualifications:
Candidates must possess a minimum of five years of relevant experience in administrative or operations support services, preferably within national or international organizations. Proficiency in computer applications, particularly MS Office, and experience with web-based management systems are essential. Candidates should demonstrate strong organizational skills, attention to detail, and the ability to manage multiple tasks effectively.

Educational Background:
Completion of secondary school is required, along with five years of relevant experience. A First University Degree in Business Administration, Public Administration, or equivalent disciplines is desirable but not mandatory.

Experience:
The position requires a minimum of five years of relevant experience in general administrative or operations support services. Candidates should have a proven track record in managing logistics and fleet operations, with a strong understanding of compliance and best practices in fleet management.

Languages:
Fluency in English and Ukrainian is mandatory, with the ability to read, write, and speak both languages proficiently. Additional language skills may be considered an asset but are not required.

Additional Notes:
This is a local position open to Nationals of Ukraine and individuals with valid residence/work permits. The contract type is Local Individual Contract Agreements (LICA), at level LICA 5/ICS-5, with an open-ended duration subject to organizational requirements and satisfactory performance.
