Job Overview: The Conference Management Officer position is situated within the Official Relations and Correspondence Unit (RELOFF) of the Official Meetings, Documents and Relations Department (RELMEETINGS). This role is pivotal in providing conference management services that support the governing bodies of the ILO, including the International Labour Conference and the Governing Body. The incumbent will be responsible for facilitating relations with ILO constituents, including governments and workers' organizations, and will assist in the organization and servicing of official meetings. The position requires flexibility, as it may involve working outside of standard office hours to accommodate urgent requests and meeting schedules. The successful candidate will be expected to manage various tasks related to meeting organization, including drafting correspondence, conducting research, and coordinating logistical arrangements, all while ensuring compliance with governance policies and guidelines.
Duties and Responsibilities:
Analyze proposals for symposia, seminars, and workshops, ensuring compliance with governance policies and monitoring submission workflows.
Provide technical assistance regarding governance policies to various ILO units and external offices.
Assist in organizing sessions for the Governing Body and International Labour Conference, including drafting preparatory materials and taking notes.
Draft correspondence and information materials related to ILO governance.
Support the organization of briefing sessions for Governing Body members and delegates.
Analyze data and trends to support effective meeting-related service delivery.
Coordinate logistical arrangements for meetings and provide support to delegates.
Contribute to the development of digital tools and knowledge products for meeting participants.
Perform other relevant duties as assigned.
Required Qualifications: Candidates must possess a first-level university degree (Bachelor’s or equivalent) in fields such as diplomacy, international relations, business administration, or event management. Additionally, candidates should have at least three years of experience in conference management activities, particularly in international organizations. Strong communication skills, drafting abilities, and problem-solving capabilities are essential. Familiarity with the operational framework of the ILO and its governance documents is advantageous.
Educational Background: A first-level university degree (Bachelor’s or equivalent) in a relevant field such as diplomacy, international relations, business administration, or event management is required for this position. This educational background provides the necessary foundation for understanding the complexities of international meetings and governance.
Experience: Candidates should have a minimum of three years of experience in conference management activities, which includes organizing meetings and providing related support services in an international context. This experience is crucial for understanding the dynamics of international organizations and the specific requirements of the ILO.
Languages: Excellent command of English is mandatory, along with a working knowledge of a second ILO working language, which can be either French or Spanish. Candidates whose mother tongue is not one of the ILO's working languages must demonstrate proficiency in at least one and are expected to acquire knowledge of a second language during their initial years of service.
Additional Notes: The position is a fixed-term contract for a duration of 24 months, with the possibility of extension based on performance and conduct. The successful candidate will undergo a probation period of two years.
