Job Overview:
The position is within the Official Relations and Correspondence Unit (RELOFF) of the Department of Official Relations, Meetings, and Documents (RELMEETINGS). This department is responsible for managing conference services for the governing bodies of the ILO, including the International Labour Conference and the Governing Body meetings. The RELOFF unit facilitates relationships with the ILO's tripartite constituents, including governments, employers, and workers, and provides support for the governance of the organization. The incumbent will assist in organizing official meetings and ensure the smooth functioning of the ILO's governance bodies. Given the nature of the unit's work, the role may require working outside regular office hours and on weekends to meet urgent demands.

Duties and Responsibilities:
  • Analyze information regarding proposals for conferences, seminars, workshops, and meetings submitted to the ILO Governing Body for approval, ensuring compliance with applicable governance policies and guidelines.
  • Provide technical assistance to requesting services at headquarters and field offices regarding governance approval policies and procedures, liaising with employer and worker group secretariats.
  • Assist in organizing sessions of the Governing Body, International Labour Conference, and regional meetings, providing support to the presidency and secretariat, compiling and drafting preparatory documents, taking notes, and preparing periodic reports.
  • Draft correspondence and informational documents for official meetings related to the functioning of ILO governance bodies, conducting research and analysis on governance decisions and applicable regulations.
  • Support the organization of information sessions for Governing Body members and delegates at the Conference and other ILO meetings, including preparing informational documents, presentations, taking notes, and drafting reports.
  • Analyze information, data, statistics, correlations, trends, and various issues to support effective service delivery for meetings and new initiatives, facilitating the establishment of plans, reports, or other products.
  • Coordinate logistical arrangements for informal consultations and official meetings, providing support and information to delegates and participants, resolving issues related to designation, accreditation, and registration of tripartite constituents.
  • Contribute to the development and improvement of information tools, digital and online resources, and other knowledge dissemination products for delegates and meeting participants, proposing measurable performance criteria and indicators for evaluation.
  • Perform other relevant tasks as requested.

Required Qualifications:
Education: A first-level university degree (bachelor's or equivalent) in diplomacy and international relations, business administration, event management, or a closely related field. Experience: At least three years of experience in conference management activities, such as organizing meetings or providing related support services, including language services, in the context of international organizations. Skills: In addition to the essential skills required by the ILO, this position requires knowledge and understanding of at least two areas related to service delivery for meetings and events in international organizations. Strong communication skills, tact, discretion, and the ability to respond autonomously to general or procedural inquiries from delegates or meeting participants are essential. Excellent writing, research, and analytical skills, problem-solving abilities, and the capacity to work calmly and deliver quality work within deadlines are also required. Familiarity with the operational framework of the ILO's Governing Body and International Labour Conference is an advantage. The ability to analyze governance-related documents, including meeting rules and regulations, and to conduct searches for related data in automated search engines is necessary. The candidate must be able to work effectively in a multicultural environment and adopt non-discriminatory, inclusive, and gender-sensitive behavior.

Educational Background:
A first-level university degree (bachelor's or equivalent) in a relevant field such as diplomacy and international relations, business administration, or event management is required for this position. This educational background is essential to ensure that the candidate possesses the necessary theoretical knowledge and practical skills to perform the duties associated with the role effectively.

Experience:
The position requires a minimum of three years of relevant experience in conference management or related support services within international organizations. This experience should include organizing meetings and providing logistical and administrative support, which is crucial for understanding the complexities of international governance and the specific needs of the ILO's tripartite constituents.

Languages:
Fluency in English is mandatory, along with practical knowledge of a second official language of the ILO (French or Spanish). Candidates whose mother tongue is not one of the ILO's working languages must demonstrate satisfactory practical knowledge of at least one of the ILO's working languages and will be required to acquire proficiency in a second working language within their first years of service if appointed.

Additional Notes:
The contract is for a fixed term of 24 months, with the external candidate subject to a probationary period of two years. Any extension beyond the probationary period is contingent upon satisfactory conduct and performance. The ILO emphasizes a zero-tolerance policy towards exploitation and abuse, ensuring that no staff member or beneficiary is subjected to such behavior.
