Duties and Responsibilities: The Administrative Support Officer will be responsible for a range of tasks, including but not limited to: providing and coordinating office support services to ensure smooth office operations; maintaining the director's agenda and prioritizing appointments; preparing and finalizing various types of correspondence, including complex documents requiring research and understanding of administrative and operational issues; managing quality control of outgoing documents; analyzing and managing correspondence, including confidential materials; organizing and coordinating meetings, workshops, and events; overseeing travel arrangements and ensuring compliance with administrative procedures; and maintaining contact with various stakeholders, including government officials and international organizations. The officer will also be tasked with keeping up-to-date with administrative regulations and providing guidance and training to staff to enhance their knowledge.
Required Qualifications: Candidates must possess a complete secondary education and training in a field related to general administration and office support. A minimum of six years of work experience in general administration and office support tasks is required, with a focus on providing high-level support services. Experience working with institutional resource planning systems is also essential. Candidates should demonstrate a strong understanding of operational areas and possess good knowledge of computer programs, particularly Microsoft Office applications. Additionally, candidates must exhibit competencies such as integrity, sensitivity to diversity, customer orientation, and the ability to adapt quickly to new programs and systems.
