Job Overview:
The Team Assistant position is integral to the Human Resources Section, where the individual will report directly to the Associate Staff Development Officer. The role encompasses a wide range of office support and administrative functions, which are crucial for the smooth operation of the unit. The Team Assistant will be expected to manage correspondence, prepare complex documents and reports, monitor processes and schedules, and ensure compliance with legal and financial requirements. Additionally, the position involves research, data compilation, and the generation of statistical reports, which are essential for informed decision-making and planning within the organization. The Team Assistant will also provide logistical support for meetings and conferences, maintain calendars, and assist in the preparation of presentation materials. This role requires a proactive approach to problem-solving and the ability to work collaboratively with various stakeholders.

Duties and Responsibilities:
The Team Assistant will be responsible for a comprehensive set of duties, including but not limited to: performing a wide range of office support and administrative functions; drafting responses to routine correspondence; producing large and complex documents; monitoring unit outputs and schedules; verifying documents for compliance; researching and organizing information for reports and meetings; generating statistical reports; proofreading and editing documents; screening phone calls and visitors; providing secretarial and logistical support for meetings; maintaining websites; preparing presentation materials; managing calendars; performing data entry; processing mail and documents; maintaining distribution lists; handling administrative tasks such as leave recording and budget follow-up; maintaining files and databases; providing software and office equipment support; guiding less experienced staff; assisting in data collection and analysis; and performing other duties as assigned.

Required Qualifications:
Candidates must possess a high school diploma or equivalent. For positions in the General Service category, it is essential to clearly indicate relevant information confirming completion of high school in the Applicant Profile. Additionally, candidates should demonstrate knowledge of general office and administrative support, as well as familiarity with administrative policies and procedures. Professionalism, planning and organizing skills, and client orientation are critical competencies for this role. The ability to work efficiently under pressure and manage multiple tasks is also required.

Educational Background:
A high school diploma or equivalent is required for this position. Candidates must clearly indicate their educational qualifications in their application profile, particularly for positions in the General Service category.

Experience:
A minimum of two years of experience in general office support or a related area is required. However, this requirement is waived for candidates who possess a first-level university degree or higher. Experience with ERP systems, such as PeopleSoft or SAP, is desirable, as is experience in maintaining reports and information management. Additionally, candidates with one year or more of experience in data analytics or related fields will be viewed favorably.

Languages:
Fluency in Spanish and knowledge of English are required for this position, as English and French are the working languages of the United Nations Secretariat, while Spanish is a working language of ECLAC. Knowledge of another official United Nations language is considered an advantage.

Additional Notes:
The selected candidate will be granted a fixed-term appointment limited ("FTAlimited") in accordance with administrative instructions. Staff members are subject to the authority of the Secretary-General and may be reassigned to different functions as needed. This position is funded with extrabudgetary resources, meaning that the extension of the appointment will depend on the availability of funds.
