Job Overview:
The Team Assistant role is crucial in supporting the Gender Affairs Division at ECLAC in Santiago. The individual in this position will report directly to the Senior Social Affairs Officer and will be responsible for a variety of office support and administrative functions. This includes drafting responses to correspondence, producing complex documents and reports, monitoring processes related to the unit's outputs, and assisting in the verification of documents to ensure compliance with legal and financial requirements. The Team Assistant will also be involved in research and compilation of information related to women's autonomy, proofreading documents, providing logistical support for meetings and conferences, and maintaining websites and databases. The role requires a proactive approach to managing schedules, data entry, and general administrative tasks, ensuring that the office runs smoothly and efficiently. The position also emphasizes the importance of gender equality and the equal participation of women and men in all aspects of work.

Duties and Responsibilities:
The Team Assistant will perform a wide range of duties, including but not limited to:
  • Performing general office support and administrative functions.
  • Drafting responses to routine correspondence and communications.
  • Producing large and complex documents and reports using standard word processing software.
  • Monitoring processes and schedules related to the unit’s outputs and tasks.
  • Assisting in the verification of documents for compliance with legal and financial requirements.
  • Researching and compiling information related to women's autonomy for various reports and meetings.
  • Proofreading documents for accuracy and adherence to established standards.
  • Screening phone calls and visitors, responding to inquiries, and referring them to appropriate personnel.
  • Providing secretarial and logistical support for meetings, boards, and conferences. 1
  • Maintaining and updating websites and information materials. 1
  • Assisting in the preparation of presentation materials. 1
  • Maintaining calendars and schedules, communicating changes to relevant staff. 1
  • Performing data entry and extraction functions. 1
  • Reviewing, recording, and distributing mail and documents. 1
  • Updating and maintaining distribution lists and preparing various materials for distribution. 1
  • Performing general administrative tasks such as leave recording and meeting arrangements. 1
  • Maintaining files and databases for the work unit. 1
  • Providing guidance to less experienced staff on office processes and procedures. 1
  • Assisting with data collection and analysis for reports and presentations. 2
  • Performing other duties as assigned.

Required Qualifications:
Candidates must possess a high school diploma or equivalent. It is essential for applicants to clearly indicate their completion of high school in their Applicant Profile. Additionally, candidates should have at least three years of experience in general office support or a related area. Experience working with Latin American and Caribbean countries is desirable, as is experience with gender analysis. Candidates should also have at least one year of experience in data analytics or a related area, which is considered an asset.

Educational Background:
The minimum educational requirement for this position is a high school diploma or an equivalent qualification. Candidates are expected to provide relevant information in their Applicant Profile to confirm their educational background.

Experience:
The position requires a minimum of three years of experience in general office support or a related field. Experience working specifically with Latin American and Caribbean countries is preferred, as well as experience in gender analysis. Additionally, having at least one year of experience in data analytics or a related area is desirable and will enhance a candidate's application.

Languages:
Fluency in Spanish is required for this position, along with a good knowledge of English. The working languages of the United Nations Secretariat are English and French, but for this role, proficiency in Spanish is essential. Knowledge of additional languages may be considered an asset but is not mandatory.
