Job Overview:
The Programme Support Assistant (Social Inclusion) will play a crucial role in supporting the implementation of IOM Hungary’s social inclusion and integration programmes. This position involves providing administrative, coordination, and technical support to ensure that projects are executed effectively and in compliance with IOM policies and donor requirements. The incumbent will assist in various tasks such as data management, stakeholder coordination, and donor reporting, which are essential for the successful delivery of project activities. The role requires a proactive approach to monitoring project progress, managing budgets, and liaising with various stakeholders, including local authorities, NGOs, and other partners. The Programme Support Assistant will also be responsible for drafting reports and correspondence related to project activities, ensuring that all documentation is accurate and up-to-date. This position is ideal for individuals who are organized, detail-oriented, and possess strong communication skills, as they will be interacting with a diverse range of stakeholders.

Duties and Responsibilities:
The duties and responsibilities of the Programme Support Assistant (Social Inclusion) include:
  • Assisting in the implementation and monitoring of project activities to ensure compliance with IOM policies.
  • Retrieving, compiling, summarizing, analyzing, and presenting information/data on specific project topics.
  • Monitoring project budgets, verifying the availability of funds, obtaining necessary approvals, and updating budget-related information.
  • Acting as the focal point for administrative coordination of project implementation, which involves extensive liaison with various organizational units and external parties.
  • Drafting status reports that identify shortfalls in delivery and suggesting remedial actions to the supervisor.
  • Preparing and updating reports, briefing notes, graphics, statistical tables, presentations, and other forms of documentation.
  • Responding to complex information requests and inquiries, setting up and maintaining files/records, and organizing meetings, workshops, and training sessions.
  • Participating in meetings and conferences, assisting in coordinating implementation activities with local authorities, partners, UN agencies, intergovernmental and non-governmental organizations, donors, and other stakeholders.
  • Monitoring the work of implementing partners and reporting any non-compliances to the supervisor. 1
  • Providing guidance and training to new or junior staff members. 1
  • Performing other related duties as assigned by the supervisor.

Required Qualifications:
The required qualifications for the Programme Support Assistant (Social Inclusion) position include:
  • A school diploma with four years of relevant experience; or a Bachelor’s degree in Political or Social Sciences, International Relations, Development Studies, Migration Studies, Human Rights, Law, or related fields from an accredited academic institution with two years of relevant professional experience.
  • Familiarity with migrant rights, anti-discrimination policies, and social cohesion initiatives is essential.
  • Previous experience with data collection, reporting, and database management is required.
  • Experience in liaising with government entities, NGOs, and private sector stakeholders is necessary.
  • Knowledge of IOM and UN social integration policies is considered an asset.

Educational Background:
Candidates must possess either a school diploma with four years of relevant experience or a Bachelor’s degree in a relevant field such as Political or Social Sciences, International Relations, Development Studies, Migration Studies, Human Rights, or Law from an accredited academic institution. Accredited universities are those listed in the UNESCO World Higher Education Database, ensuring that candidates have received their education from recognized institutions that meet international standards.

Experience:
The position requires candidates to have experience in social inclusion, community development, labor market integration, or refugee/migrant support programmes. Familiarity with migrant rights, anti-discrimination policies, and social cohesion initiatives is crucial. Candidates should also have previous experience in data collection, reporting, and database management, as well as experience in liaising with government entities, NGOs, and private sector stakeholders. Knowledge of IOM and UN social integration policies is an asset that will enhance a candidate's suitability for this role.

Languages:
Fluency in English and Hungarian is required for this position, both oral and written. IOM’s official languages include English, French, and Spanish, and proficiency in these languages may be evaluated during the selection process, which could include written and/or oral assessments. Candidates should be prepared to demonstrate their language skills as part of the recruitment process.

This position is subject to local recruitment, and only candidates holding a valid residence and work permit for Hungary will be eligible for consideration.
