Job Overview:
The Movement Operations Assistant plays a crucial role in the organized movement of migrants and refugees under the auspices of IOM. This position involves managing travel requests, ensuring the secure handling of travel documents, and coordinating with various stakeholders, including embassies and resettlement support centers. The assistant is expected to maintain accurate records in the MiMOSA database, prepare travel-ready documentation, and provide logistical support throughout the travel process. The role requires a strong understanding of IOM's Standard Operating Procedures (SOPs) and a commitment to maintaining the confidentiality and integrity of all documentation. The assistant will also be responsible for reporting any issues that arise during the travel process and suggesting corrective actions to supervisors.

Duties and Responsibilities:
  • Record demographic and biographic information in MiMOSA upon receipt of travel requests and confirm receipt to relevant third parties.
  • Secure and account for travel documents in accordance with local SOPs, ensuring their secure storage and limited access.
  • Process exit permits in coordination with supervisors and relevant authorities.
  • Ensure timely issuance and dispatch of travel documents, coordinating closely with Operations colleagues.
  • Prepare all necessary travel documentation for transfer to Field Support colleagues, ensuring completeness for departure.
  • Prepare reports on documentation receipt and service delivery, informing supervisors of any issues and suggesting corrective actions.
  • Assist in data mining reports to maintain the accuracy and integrity of MiMOSA.
  • Provide regular feedback on work progress to the National Movement Operations Manager and keep supervisors informed of any issues.
  • Demonstrate understanding of Movement Operations SOPs and maintain professionalism in all interactions. 1
  • Ensure confidentiality and integrity of paperwork in line with conduct standards and data protection rules. 1
  • Perform additional duties as assigned.

Required Qualifications:
The position requires completed secondary education (high school diploma) as a minimum qualification. Candidates must possess strong computer skills, particularly in Word, Excel, and internet applications. Experience with Movement Operations-related databases, specifically MiMOSA, is mandatory. Additionally, candidates should demonstrate strong organizational skills, attention to detail, and the ability to work collaboratively in a team environment.

Educational Background:
A completed secondary education is required for this position. While a higher education degree is not mandatory, it may enhance a candidate's profile, especially if it is related to migration, international relations, or a similar field.

Experience:
Candidates must have a minimum of five years of relevant working experience. Alternatively, three years of experience is acceptable if the candidate holds a Bachelor’s degree. Prior experience in Movement Operations or transportation is mandatory, highlighting the importance of familiarity with the processes involved in the organized movement of migrants and refugees.

Languages:
Fluency in both English and Spanish is required, both orally and in writing. Additionally, a working knowledge of French is considered desirable, which may enhance communication with a broader range of stakeholders.
