Job Overview: The position of Administrative Support within the WHO's Division of Health Emergencies (WHE) is crucial for providing comprehensive administrative assistance to the staff in the Country Office. The incumbent will be responsible for a variety of secretarial, coordinating, monitoring, and administrative services that support project and program activities. This role requires a proactive approach to managing correspondence, organizing meetings, and ensuring that all administrative tasks are executed efficiently. Duties and Responsibilities: The incumbent will perform a wide range of duties including drafting correspondence and documents, composing and finalizing administrative correspondence, revising reports and documents, taking notes at meetings, arranging duty travel, and managing correspondence. They will monitor project implementation status, evaluate urgency of correspondence, and inform responsible staff of follow-up dates. The role also involves making administrative arrangements for meetings, preparing various documents related to procurement, and providing administrative support during meetings. The incumbent will establish and maintain filing systems, respond to telephone inquiries, coordinate appointments, and assist with donor proposals and reports. Additionally, they will ensure compliance with corporate guidelines and assist in the organization of country and inter-country activities.
Required Qualifications: Candidates must possess a minimum of 5 years of relevant experience in the secretarial or administrative field, or 3 years of experience with a First level university degree in public or business administration or a related field. Essential skills include proficiency in standard office software, excellent communication abilities, and the capacity to operate computerized systems and databases. Experience in an international environment or institution, particularly within WHO or the UN, is desirable. Candidates should demonstrate strong organizational skills and the ability to work effectively in a team.
Educational Background: The educational requirement for this position includes at least a secondary school graduation or completion of a technical or commercial school. A higher education degree from an accredited institution is considered an asset and may enhance a candidate's profile for this role.
Experience: The position requires candidates to have substantial experience in administrative roles, with a minimum of 5 years in relevant fields.
