Job Overview:
The Staff Assistant position is situated within the Economic Development Division of ECLAC, reporting directly to the Division Director. The role encompasses a wide range of office management and administrative support functions, particularly for the fiscal component of the GIZ-CEPAL WITRA 2024 project. The Staff Assistant is expected to perform these duties with minimal supervision, providing direct assistance to senior officers or managers overseeing major programs. The position requires maintaining effective communication with the Executive Office and senior officials from other units, ensuring smooth information flow, and assisting in the development of administrative systems and procedures. The Staff Assistant will also coordinate service-wide activities, orient new staff, attend meetings, prepare minutes, and respond to various correspondence. This role is crucial for supporting the operational efficiency of the division and contributing to the overall objectives of ECLAC.

Duties and Responsibilities:
The Staff Assistant will be responsible for a comprehensive set of duties, including but not limited to: performing office management and administrative support functions; maintaining liaison with the Executive Office and senior officials; ensuring efficient information flow within the unit; preparing and processing confidential information; assisting in the coordination of meetings, training, and special projects; orienting new staff to administrative procedures; attending meetings and preparing minutes; drafting responses to correspondence; producing complex documents and reports; carrying out quality control for outgoing documents; responding to complex information requests; assisting in the preparation of presentation materials; maintaining calendars and schedules; performing various administrative duties such as leave recording and meeting organization; assisting with data collection and analysis; maintaining files and databases; and performing other duties as assigned.

Required Qualifications:
Candidates must possess a high school diploma or equivalent. For positions in the General Service category, it is essential to clearly indicate relevant information confirming completion of high school in the Applicant Profile. Additionally, candidates should demonstrate knowledge of general office and administrative support, including familiarity with administrative policies and procedures. Professionalism, teamwork, and effective planning and organizing skills are critical competencies for this role.

Educational Background:
A high school diploma or equivalent is required for this position. Candidates must ensure that their Applicant Profile reflects their educational qualifications accurately, as this is a prerequisite for consideration in the recruitment process.

Experience:
A minimum of five years of experience in general office support or a related area is required. However, this requirement is reduced to three years for candidates who possess a first-level university degree or higher. Experience in coordinating service-wide activities, special projects, and events is desirable, as is at least one year of experience in data analytics or a related field.

Languages:
Fluency in both English and Spanish is required for this position, as these are the working languages of ECLAC. Knowledge of another official United Nations language is considered an advantage, enhancing the candidate's profile for the role.

Additional Notes:
The selected candidate will be granted a fixed-term appointment limited ("FTAlimited") in accordance with administrative instructions. Staff members are subject to the authority of the Secretary-General and may be reassigned to different functions as needed. This position is funded with extrabudgetary resources, meaning that the extension of the appointment will depend on the availability of funds.
