Job Overview:
The Language Programme Team Assistant will be responsible for assisting in the administration of the language programme and providing support for career development courses and initiatives. This role is situated within the Talent Development Unit (TDU) of the Human Resources Management Service (HRMS) at UNON. The TDU offers a wide array of language and professional training courses designed for UN staff worldwide. The assistant will report directly to the Language Programme Coordinator and the Head of TDU, ensuring that all administrative tasks related to the language programme are executed efficiently. The position is part-time and spans three terms of 10 weeks each throughout the calendar year, emphasizing the importance of flexibility and adaptability in managing the workload associated with the language programme.

Duties and Responsibilities:
The Language Programme Team Assistant will undertake a variety of duties under the supervision of the Language Programme Coordinator and Training Assistant. Responsibilities include:
  • Compiling and inputting language student information into the language income spreadsheet, including coding blocks and fund centers.
  • Managing language programme registration by receiving forms and advising clients on course details.
  • Preparing and posting term and class schedules on bulletin boards.
  • Digitizing end-of-term results and preparing language progress reports.
  • Assisting language teachers in invigilating interpretation and translation examinations.
  • Conducting an inventory of language programme books and materials.
  • Preparing financial reports on language programme income and following up on student payments.
  • Organizing administrative arrangements for workshops, including travel logistics for participants.
  • Ensuring classrooms are well-equipped and maintaining a clean training facility. 1
  • Keeping regular correspondence with students regarding teacher absences and payment follow-ups.

Required Qualifications:
Candidates must possess a high school diploma or equivalent. Proficiency in Excel is desirable, indicating a need for strong organizational and data management skills. Additionally, a minimum of 2 years of experience in administration or a related field is required, showcasing the importance of practical experience in supporting the language programme effectively.

Educational Background:
The minimum educational requirement for this position is a high school diploma or its equivalent.
