Job Overview: The HR Assistant position is located in the FAO Country Office in the Philippines and reports to the Assistant FAO Representative (Administration). The role involves performing a variety of routine administrative duties related to human resources. The HR Assistant is responsible for coordinating and executing administrative tasks associated with the hiring of national affiliate workforce, ensuring compliance with FAO rules and regulations. This position requires collaboration with the regional Human Resources Unit and entails managing the entire recruitment process, from publishing job calls to facilitating interviews and managing contracts. The HR Assistant plays a crucial role in fostering a respectful and harmonious work environment, promoting knowledge exchange, and supporting the performance evaluation process for consultants. Duties and Responsibilities: The HR Assistant's duties and responsibilities include:
Coordinating and managing the publication of job calls to attract candidates for vacancies related to national and international affiliate workforce, ensuring proper dissemination to attract qualified talent.
Organizing and facilitating the selection process, including coordinating interviews with the selection panel and preparing reports on evaluated candidates.
Managing the complete cycle of contracts for national and international affiliate workforce in the Global Resource Management System (GRMS), ensuring the collection and verification of required documentation.
Providing administrative support, including recording worked hours for the payment of fees to national and international consultants and other related tasks.
Collaborating in implementing actions to promote a respectful and harmonious work environment, aligned with the organization's values and commitments.
Facilitating knowledge exchange and best practices within the office, promoting collaboration, continuous learning, and innovation.
Assisting in the performance evaluation process of national and international consultants, providing logistical and administrative support for the preparation and recording of their performance evaluation reports (QAR).
Maintaining confidentiality and handling sensitive information with discretion.
Carrying out any other relevant duties within his/her technical competence as may be requested by the AFAOR for Administration.
Required Qualifications: Candidates must meet the following minimum requirements:
A University Degree in Psychology, Business or Public Administration, or any related field.
At least 5 years of experience in administrative and HR-related work.
Full proficiency / working knowledge (level C) of English.
A national of the Philippines or a legal resident with a valid work permit. Additionally, candidates should possess FAO Core Competencies, including Results Focus, Teamwork, Communication, Building Effective Relationships, and Knowledge Sharing and Continuous Improvement.
Educational Background: The educational background required for the HR Assistant position includes a University Degree in Psychology, Business or Public Administration, or any related field.
