Job Overview: The Senior Medical Assistant plays a crucial role in overseeing the Call Centre and Data Processing/registration teams within the Migration Health Assessment Centre (MHAC). This position is vital for ensuring that accurate information is provided to migrants regarding health assessment programs and other IOM services. The incumbent will be responsible for a range of administrative functions, including switchboard operations, handling inquiries, and providing assistance to refugees and immigrants. The role requires a proactive approach to managing the daily operations of the MHAC, ensuring that all processes are efficient and effective. The Senior Medical Assistant will work under the supervision of the Chief of Mission and the Chief Migration Health Officer, contributing to the overall success of the health assessment programs and enhancing the quality of service provided to migrants.
Duties and Responsibilities: The Senior Medical Assistant will have a comprehensive set of duties and responsibilities, including but not limited to: organizing the Medical Assistants Roster and assigning various duties within the unit; developing and maintaining the MHAC’s Standard Operating Procedures (SOPs); supervising and training Medical Assistants to ensure compliance with SOPs; analyzing tools related to migrant flow and satisfaction; preparing medical forms and scheduling health assessments; ensuring the reception area is organized and presentable; providing accurate information to applicants regarding their schedules; proposing fraud prevention measures; managing the reception of medical documents and ensuring their transmission to relevant partners; updating the MHAC information on the country MHD website; preparing monthly statistics on health assessments; filing incoming and outgoing correspondence; preparing purchase requests for equipment; managing data follow-up and providing IT/database support; and suggesting improvements to internal control mechanisms.
Required Qualifications: Candidates must possess a University Degree with at least four years of relevant working experience, or a Secondary School Diploma with at least six years of relevant working experience. Accredited universities must be listed in the UNESCO World Higher Education Database. Additionally, candidates should have experience in managing large teams, a background in customer service, IT, or administration, and knowledge of data management principles. A certificate in IT/Data entry is advantageous, as is familiarity with medical terminology and previous secretarial or archival experience. Proficiency in data analysis tools such as Power BI and programming languages like SQL is also beneficial.
Educational Background: The educational background required for this position includes a University Degree or a Secondary School Diploma, with the former being preferred. The degree should be from an accredited institution recognized by the UNESCO World Higher Education Database. The emphasis is on relevant working experience in the field, which is critical for the successful execution of the role's responsibilities.
Experience: Candidates should have substantial experience in managing dynamic teams, particularly in customer service, IT, or administrative roles. A strong understanding of data management principles is essential, along with high computer literacy in Windows and MS Office applications. Experience with healthcare-specific systems, such as Electronic Health Record Systems (EHRs), is an advantage, as is familiarity with the Interim Federal Health Programme (IFHP). The ideal candidate will have a proven track record of effective leadership and management skills, particularly in data entry and customer care environments.
Languages: Fluency in English and a local language is required, both orally and in writing. IOM's official languages include English, French, and Spanish, and proficiency in these languages will be evaluated during the selection process, which may include written and/or oral assessments. Strong communication skills are essential for this role, as the Senior Medical Assistant will be interacting with a diverse range of individuals.
Additional Notes: This position is subject to local recruitment, meaning only candidates holding a valid residence and work permit for Zimbabwe will be considered. The appointment will be contingent upon certification of medical fitness, verification of residency, and necessary government authorizations. The selection process may be used to fill similar positions in various duty stations, and recommended candidates will remain eligible for appointment in similar roles for a period of 24 months.
