Job Overview: The Executive Director's Office Coordinator will play a crucial role in supporting the Executive Director of UN-Habitat by managing communications, coordinating strategic priorities, and overseeing the preparation of briefing materials. The incumbent will be responsible for reviewing documents related to UN-Habitat policies, monitoring emerging policy issues, and ensuring effective communication between the Executive Director and various divisions within the organization. This position requires a proactive approach to identifying issues that require the Executive Director's attention and developing recommendations for action. The coordinator will also assist in planning and participating in high-level meetings, maintaining records, and ensuring follow-up actions are executed in a timely manner. The role demands a strong understanding of urbanization issues and the ability to analyze data to support decision-making processes.
Duties and Responsibilities: The duties and responsibilities of the Executive Director's Office Coordinator include:
Supporting and advising the Executive Director by coordinating communications and strategic priorities.
Reviewing documents for substance and style, and submitting them for clearance.
Monitoring and identifying emerging policy issues and bringing them to the attention of the Executive Director.
Coordinating background briefing materials and maintaining liaison with various divisions.
Managing the Executive Director's commitments and ensuring efficient communication with UN-Habitat divisions.
Assisting in planning and participating in meetings of the UN-Habitat Assembly and other internal bodies.
Facilitating communication with governments and senior officials of the UN.
Analyzing political developments and making recommendations to senior management.
Coordinating the preparation of briefing materials for the Executive Director's missions. 1
Supporting the development and implementation of UN-Habitat's Programme of Work and relevant strategies. 1
Collecting and analyzing data to identify trends and provide insights for decision-making.
Required Qualifications: Candidates must possess a strong understanding of political systems, institutions, and processes relevant to human settlements. They should have the ability to identify and analyze issues, assist with data collection, and conduct independent research. The role requires excellent organizational skills, the ability to manage conflicting priorities, and a commitment to gender perspectives in all areas of work. Candidates should demonstrate professionalism, teamwork, and the ability to work collaboratively with colleagues to achieve organizational goals.
Educational Background: An advanced university degree in business administration, management, law, economics, urban planning and design, engineering, architecture, or a related field is required. Alternatively, a first-level university degree combined with two additional years of qualifying work experience may be accepted in lieu of the advanced degree. Successful completion of degree and non-degree programs in data analytics, business analytics, or data science is desirable.
Experience: A minimum of seven years of progressively responsible work experience in human settlements-related project or programme management, executive administration, or a related area is required. Experience in international and multilateral relations is essential, along with a background in managing a front office. Desirable experience includes sustainable urban development, urban policy, and familiarity with the United Nations common system or similar international organizations. Experience in urban design and data analytics is also beneficial.
Languages: Fluency in English is required, as it is one of the working languages of the United Nations Secretariat. Knowledge of another official United Nations language, such as French, is desirable. Fluency is defined as a rating of 'fluent' in all four areas (reading, writing, speaking, and understanding), while knowledge is defined as 'confident' in two of the four areas.
