Job Overview:
The National Individual Consultant will provide essential administrative and logistical support to UNFPA staff and their families relocating from New York to Nairobi. This role is crucial as it supports the organization's HQ Optimization process, which aims to enhance field focus by relocating significant portions of the Programme Division to Nairobi. The consultant will collaborate closely with Human Resources Business Partners (HRBPs) for Humanitarian and Special Projects and the Operations Manager for the Kenya Country Office. The consultant will be supervised by the HRBP-ESARO on a daily basis, under the overall guidance of the HR Director. The consultancy is expected to run from March 2025 to January 2026, aligning with UNFPA working hours in Nairobi, and will involve both remote work and office presence.

Duties and Responsibilities:
The consultant will be responsible for a variety of administrative and logistical tasks, including: maintaining a Master Tracker of all staff relocation details (arrival dates, flight details, interim accommodation details); coordinating with the Bureau of External Services (BES) for staff PAFs prior to their arrival; facilitating the identification of international schools for staff dependents; liaising with the United Nations Department of Safety and security" style="border-bottom: 1px dotted #007bff !important;">Security (UNDSS) for security assessments of staff accommodation; coordinating security briefings for new hires; facilitating processing of staff access to UNON compound and staff IDs; arranging airport transfers and hotel/furnished temporary housing reservations; submitting documents to UNON protocol for work dependent visa and residency permit processes; processing Tax PIN certificates, Drivers License, and relevant IDs for staff and dependents; facilitating bank account opening processes; and supporting the importation and clearance of staff shipments of personal effects.

Required Qualifications:
Candidates must possess a high school education, with qualifications in administration, logistics, project management, or a related field being required. Additionally, candidates should have at least seven years of progressively responsible experience in managing projects, a solid understanding of the UN operational business model and accountability requirements, and the ability to communicate effectively with colleagues both verbally and in writing. Strong organizational skills, analytical skills, and attention to detail are essential, along with proficiency in the use of MS Office suite products.

Educational Background:
A high school education is required, with additional qualifications in administration, logistics, project management, or a related field being necessary for this position. This educational background will provide the foundational knowledge needed to effectively manage the logistical and administrative tasks associated with the role.

Experience:
Candidates should have a minimum of seven years of relevant experience in progressively responsible roles, particularly in project management. This experience should include a thorough understanding of the UN operational business model and the ability to navigate the complexities of international relocations and logistics.

Languages:
Fluency in English is mandatory for this position. Proficiency in French and/or Spanish is considered desirable, as it may enhance communication with diverse stakeholders and facilitate smoother operations in a multicultural environment.

Additional Notes:
The consultancy is set to last from March 2025 to January 2026, with a working schedule aligned with UNFPA working hours in Nairobi. The consultant will work both from home and at the UNFPA office, utilizing their own laptop. Monitoring and progress control will be conducted through weekly meetings. This is a locally recruited consultancy for the Division of Human Resources (DHR), supporting the work of the unit and collaborating with various stakeholders.
